Job Description:
The Front Desk Supervisor/Info Center Attendant Supervisor provides supervision to Information Center team members. Serves as primary communication link between the public, Greencroft Goshen residents, and Greencroft Goshen team members. Also function as the point of contact for all resident medical emergency calls for Goshen and Middlebury campuses.
Duties Include:
- Be knowledgeable in emergency procedures relating to Greencroft Goshen and Middlebury campuses. Promptly answer emergency calls (both medical & non-medical) from residents and dispatch them appropriately.
- Serve as Healthcare/Information Center liaison for Campus Residents to Touch Town and Channel 13.
- Report campus resident & business phones needing service and/or repair. Report any 911 computer problems or switchboard console alarms to the Communication Specialist.
- Coordinate and distribution or work projects at the Information Center.
- Oversee training of team members for Information Center responsibilities and emergency protocol.
- Keep Information Attendants informed, or pertinent information related to the GG Campus.
- Serve as an office concierge for all departments on campus. Be flexible to handle last minute requests for secretarial functions (i.e.: typing, copying, collating, faxing, etc.). Complete and submit any work orders as requested.
- Maintain schedules of certain Meeting Rooms in the Healthcare Building to include: Groves Conference Room, Meetinghouse, Education Room, and other meeting rooms.
- Be familiar with the office machines, read all manuals. Know safety guidelines and abide by them at all times. Assist others in operating equipment. Report any malfunctions to the supervisor immediately.
- Assure all healthcare keys or combinations removed from the key safe are signed out and returned.
- Maintain confidentiality while working with resident and Greencroft Goshen information, including disposal of confidential information, according to HIPAA established guidelines.
- Provide supervision, coaching and oversight of Information Center Attendants including hiring, supervision, feedbacks and in-service compliance.
- Receive, sort, forward, transfer, and distribute resident and team member mail in a timely manner as outlined by the US Postal Service regulations and by Greencroft Goshen protocol.
- Maintain and balance the cash drawer for Petty Cash, Stamp Money, Resident Trust Fund and the Gift Shop. Report any discrepancies immediately to the Administrator. Prepare Healthcare deposit and submit on Fridays (or whenever due). Write checks related to Resident Funds as needed.
- Receive and relay information relative to any and all nursing department shift call offs. Document the same according to Greencroft Goshen procedure guidelines.
- Sort and forward resident business mail in a timely manner as outlined by the US Postal Service regulations and by Greencroft Goshen protocol.
- Keep agency binder/logs/time sheets current and up to date.
- Maintain schedule of Information Center Attendants each pay period.
- Regularly update resident list and distribute copies to the necessary department.
- Monitor copier, fax machine and accushield use and repair requests.
- Check business and personal stamps periodically and replenish as necessary.
- Provide word processing support and clerical assistance to Healthcare Administrator, DON ADON and EVS.
- Serve as Information Center Attendant as needed.
- Responsible for building and maintaining a cohesive team environment.
- Prepare calendars for posting in the format provided by Activities Coordinator as requested and distribute to appropriate parties.
Job Requirements/Qualifications:
- High school diploma or equivalent.
- Switchboard or clerical experience preferred.
- Strong Ability to work with residents.
- Handle medical and non-medical emergencies efficiently, effectively and accurately
- Handle multiple tasks effectively. Ability to make decisions in emergencies.
- Pleasant, congenial, dependable, cooperative and use proper telephone etiquette.
- Technical skills in operation of various information systems, including word processing, data entry and switchboard services.
Schedule:
- Day Shift: 40 hours per week/80 hours per pay
- Other shifts as needed
- Weekends as needed
