EB Newport Engineering Office
Overview Electric Boats Newport Engineering Office (NEO), department 702, is seeking an Administrative Assistant to work in their Middletown, RI location. The successful candidate will be working with groups of technical personnel providing products and services to the US Navy submarine program.
Administrative support
- Word processing/EB Correspondence
- Develop and maintain spreadsheets
- Database entry and maintenance
- Manage inventory control and ordering of office supplies
- Receipt/inspect orders that are delivered in support of the programs
- Initiate and track service for department copiers and telecommunications equipment
- Mail pickup and delivery
- Maintain department organization charts
- Coordinate new employee onboarding
- Prepare travel reservations and expense reports
- Coordinate facility moves
- Initiate communication work orders
Assist the NEO management team
- Schedule and facilitate meetings
- Prepare and send emails for manager (e.g. delegation of signature authority)
- Take actions to facilitate and prepare managers response to requests requiring coordinated input from the staff
- Collect, organize and prepare weekly departmental status reports
- Direct access control, and monitoring, of visitors at the NEO
Expectations:
- Candidate will be expected to accept assignments directly from department staff, relying on supervision only to provide occasional prioritizing of conflicting needs
- Occasional overtime may be required to meet department commitments
Responsibilities - Demonstrated ability to concurrently complete multiple assignments

- Ability to maintain confidentiality with regard to personnel and company sensitive matters

Qualifications Required:
- High school diploma or equivalent
- 2-5 years of related experience in an administrative role
- Ability to type 45 WPM
- Working knowledge of Microsoft Office applications (Word, Excel, PowerPoint, and Database) and experience in preparing spreadsheets, charts, presentations and documents
- Internal candidates must be from organizations outside of Operations (Casciano/Gabriel)
Preferred:
- Experience with advanced Microsoft Word, Excel and PowerPoint
- 5+ years of administrative experience in an office setting
- General administrative work experience and office responsibilities
- Working knowledge of Electric Boat's policies, procedures, and program instructions
- Experience with frequently used EB applications and tools such as CONCUR, Cornerstone, Lotus Notes, Data Monster and Procedure gateway
