ABOUT THIS POSITION
The Finance & Accounting Specialist is responsible for fulfilling the organization’s accounting, bookkeeping, tax, and payroll processes. Primary duties include managing cash flow, financial reporting, accounting system management, processing payroll, and record keeping.

- DAY-TO-DAY RESPONSIBILITIES
- Works collaboratively with the Operations Manager, HR & Office Specialist, and Executive Director to manage the organization’s back-end operations.
- Assists the Executive Director with overseeing and monitoring annual and program budgets.
- Prepares all financial reports, including fiscal reporting and preparation for grants and contracts.
- Reviews and processes monthly payroll and benefits for 25+ FTE and 200 temporary/part-time youth employees
- Inputs and manages accurate accounting system data.
- Maintains amortization, fixed asset, and depreciation schedules.
- Reconciles taxes, payroll taxes, 401k, and bank accounts monthly.
- Leads tax preparation, prepares for annual audits, and identifies and resolves discrepancies.
- Processes accounts receivable and payable.
- Reviews and manages cash flow.
- Reviews and processes all reimbursements, incoming and outgoing invoices, inter-bank transfers, and fund requests.
- Manages the petty cash fund.
- Receives, opens, and processes all incoming accounting department mail.
- Reviews, revises, and maintains internal accounting controls and procedures.
- Maintains confidentiality of information.
- Performs other duties as assigned.
QUALIFICATIONS & REQUIREMENTS
Education and Experience
- A bachelor’s degree in accounting, finance, business administration, or other related fields is preferred.
- Must have at least three years of experience in an accounting, bookkeeping, or business services role.
- Experience with Quickbooks Online.
- Experience with payroll software.
- A combination of experience and education/training is considered.
Knowledge, Skills, and Abilities
- Proficient in Quickbooks Online and Google Suite is required.
- Must have excellent attention to detail.
- Highly developed organizational skills and the ability to meet deadlines are required.
- Knowledgeable about nonprofit tax requirements and codes.
- Excellent verbal and written communication, interpersonal, time management, problem-solving, and math skills.
- Strong understanding of accounting principles, financial reporting, and legislation.
- High level of accountability, accuracy, and efficiency, especially when multitasking.
- Initiative and ability to work independently and as part of a team.
- Ability to creatively problem-solve and try new approaches.
- Ability to work harmoniously with internal staff, grantors, and agency partners.
- A valid Oregon driver’s license or ability to obtain one by the hire date is required.
- Must be willing to undergo a background check.
- Spanish language skills are preferred.
