Job description
The Executive Assistant II (Medical Administration) is a strong administrative candidate who also is either an MA or LPN in the State of Florida. This position has daily reporting responsibility to the VP Medical Administration/Chief Medical Officer (CMO) and is responsible for a wide variety of clinical and administrative support functions related to the medical services division and affiliated ancillary departments. Will serve as clinical support to patients of the the CMO when in clinic, or as needed.
Responsibilities include, but are not limited to:
- Must be certified, registered or licensed in the state of Florida as a Medical Assistant or Licensed Practical Nurse.
- Acts with utmost confidentiality and professionalism in representation of CMO and Medical Staff in all activities and interactions
- Acts as independent professional within the Healthcare Network of Southwest Florida organization.
- Serves as direct clinical support to patients of CMO both in clinic and as needed basis.
- Attends internal or external trainings, seminars, meetings; may be asked to take notes or minutes
- Develops professional rapport with physicians, dentists and their office staff
- Effectively manages inquiries and requests for CMO time and schedules appropriately
- Ensures the dissemination of medical staff information to appropriate staff and is familiar with and properly handles files according to the Medical Staff Bylaws, Rules and Regulations
- Grammatical proficiency in written and verbal format
- Interacts with executives, board members, physicians, dentists, general staff, visitors and vendors
- Manages Clinical Leadership Committee, Clinical Pods and other CMO-led committees, including meeting preparation, scheduling, room block/set up and clean up, minutes and record keeping
- Monitors providers requests for time off for personal and CME; blocks schedules accordingly
- Provides high-level administrative support to the CMO, Medical and Dental Providers-in-Charge and other Ancillary department heads
- Supports QA/QI initiatives in support of the CMO, medical staff and ancillary departments
- Manages multiple calendars for scheduling of meetings, events, interviews, etc.
- Collaborates with other administrative staff and assists as necessary
- Coordinates human resources needs with CMO, medical staff & allied directors (paperwork, etc.)
- Assists credentialing with reappointment processes for providers
- Travels to other offices or locations as needed
- Performs other duties as assigned
Specific Skills Required:
- Ability to assist medical doctor in the care of patient panel to include rooming, record keeping, completion of physician orders, and patient follow up.
- Medical terminology use and understanding
- Ability to collect, analyze and organize data and present in appropriate report formats
- Adaptable to change and work under the pressure of deadlines and short-notice requests
- Expert written and verbal communication skills
- Highly advanced computer skills (Microsoft office suite, Adobe, etc.)
- Highly advanced organizational skills
- Interact with all levels of the organization
- Professionally interact with diverse personalities
- Bilingual, preferred
- Education/Training Level:
- Associates degree with strong work experience.
- 3 years administrative experience In lieu of Associates degree
- Licenses and Certifications:
- Certified or Registered Medical Assistant or Licensed Practical Nurse
- AHA BLS certified
- Communication Skills:
- Must effectively interact with all levels of employees.
- Must have the ability to communicate, in written and verbal form, information consisting of both routine and technical complexity, as well as conclusions and analyses of data.
- Grammatical efficiency both in written and verbal form
- Technology Skills:
- Proficiency with MS Office, other word processing software, and other basic office equipment basic office equipment (facsimile machine, photocopier, telephone, etc.)
