Job Overview:
An employee in this class performs routine to varied office operations requiring general office skills. Assignments typically consist of one or more standard office operations such as phone and visitor reception work, file maintenance, data entry including routine database maintenance, keyboarding including word processing of common office/business documents, mail processing, library clerical work, and similar tasks that are quickly learned on the job. Experienced workers initiate their own daily assignments, follow through on matters, and use independent judgment and training to take appropriate actions to deal with standard recurring situations. Performs related work as required.
Roles and Responsibilities: - Provides general clerical and secretarial support to school staff.
- Performs phone and visitor reception duties: Answers calls and takes messages; screens calls to determine the nature of matter and routes calls accordingly; provides general information on unit activities.
- Greets visitors to the office and ascertains the purpose of the visit if necessary; assists visitors in locating appropriate offices or staff.
- Performs routine database maintenance duties including entering data into computerized database programs and systems, editing and correcting data; may produce reports, lists, summaries, and other documents that are printed out and distributed.
- Performs word processing/typing including formatting standard types of communications such as letters and memoranda, notices, flyers from computer drafts, handwritten copy, machine transcription, and file copies; corrects grammar and spelling; prints documents
- Maintains logs, appointment schedules, calendars, reference files/materials, and other office records.
- As instructed, notify central office staff, summer school staff, and other parties of informational matters requiring their attention.
- Receives and distributes mail, and collects outgoing mail; assembles materials for bulk mailings and arranges with mail service for processing.
- Performs related work as required.
Qualifications: - Graduation from high school and experience in performing general office clerical or secretarial work, or any equivalent combination of education and experience that would provide the following knowledge, abilities, and skills:
- Knowledge of Phoenix and Oracle office practices and procedures, and standard office appliances including desktop PCs, standard office software, scanners, printers, photocopiers, and facsimile machines.
- Ability to perform general clerical work accurately and quickly.
- Ability to communicate effectively, to work cooperatively with others, and to work under pressure and/or with frequent interruptions.
- Perform other duties as assigned by the EL Secondary Summer School Coordinator
- Bilingual (Spanish) Preferred

Hourly Band 3 ($16.51)
Dates: June 26 - July 26 ( July 4 and 5, 2024 Holiday)
Daily Hours: 5.5 hours/day (8:30 am - 2:00 pm)
Location: EL Summer School Locations TBD
Work Days & Training Dates: June 26-28, 2024 (Including Phoenix Training)
Reports To: Summer School Coordinator
