Billing Supervisor Location Hybrid remote in San Jose, CA :

Compensation range (California residents only): $74,000.00 - $115,000.00 annually, based on experience, education, and geographic location.

Billing Supervisor Responsibilities:
- Supervises the daily activities of the billing department for the accurate and timely processing of billings, sub-consultant invoices, and billing terms set-up; manages and balances team member billing workload and assignments.
- Provides educational information, training, and assistance to billing team members and directly supervises and assesses the performance of direct reports; acts as a frontline contact for billing support and questions and offers invoicing/billing guidance; escalates issues to the Billing Manager as appropriate.
- Works with service line project managers to ensure billings and invoices are properly prepared and submitted; manages project billing lifecycle.
- Creates, maintains, and updates Deltek project rate tables with new hires, promotions, etc.; assists billers with project rate increase processing annually or as they occur.
- Performs weekly, monthly, and routine billing reviews, analysis, and reporting responsibilities.
- Assists Billing Manager with setting up Annual Charge Rate Schedules
- Partners and collaborates with Project Coordinators or project billing managers to resolve any billing or subconsultant invoice issues.
- Generates batch billings and compiles the monthly billing drafts for distribution to assigned billing managers or clients; partners with project leaders to resolve difficult billing issues with clients.
- Processes a variety (simple to complex, large-scale) of project monthly billings
- Processes AP sub-consultant invoices
- Maintains and updates prevailing wage cost tables for prevailing wage projects; performs prevailing wage compliance reporting as required.
- Teams with accounts receivables on invoice payments/collections as appropriate
- Provides regular support to the Billing Manager and Billing team; Covers project billings when other billers are out of the office.
Minimum Qualifications:
- Education: associate degree; bachelor's degree preferred.
- Experience: 8-10+ years of project billing and supervisory experience; A/E consulting firm experience preferred.
- Knowledge of GAAP; Understanding of FAR preferred.
- Software Skills: Deltek experience preferred; Intermediate level proficiency required in Excel.
- Experience with invoicing, cost monitoring, or project controls related to professional services.
- Strong attention to detail and ability to produce a work product to Company or contract specification with minimal oversight.
