Job description
Princeton Academy of the Sacred Heart seeks a Director of Finance and Operations (DOFO) to oversee all aspects of the school’s financial and accounting functions; operations, risk management, and human resources.

The DOFO reports to and works in partnership with the Head of School. The DOFO is an integral member of the Senior Leadership Team and oversees the business office and its core operations.
Key areas of responsibility are as follows:
Committee Responsibilities
- Serve as lead liaison for the Finance Committee and provide effective communication, presentations, and updates to the Buildings and Grounds, Finance and Audit Committees and Board of Trustees.
- Provide accurate and timely financial information to the Head of School, Finance Committee, and Board of Trustees on School operations.
- Support the Head of School and the Finance Committee in setting up the succeeding year’s tuition to support the enrollment/reenrollment process.
Budgeting and Reporting
- Oversee the development, administration, and reporting on the operating budget to the Head of School, Finance Committee, Board of Trustees, the school’s auditors, federal, state, and local authorities, rating agencies and bond information agencies, donors, and various school administrative offices.
- Develop and maintain school budget throughout the fiscal year.
- Analyze budget variances and revise forecast of year-end results.
- Prepare annual and interim financial statements, including balance sheet, income statement and all supporting schedules and notes to the financial statements.
Financial Forecasting and Analysis
- Build multi-year financial models for operating and capital budgets to align with the school’s mission and strategic priorities, and in partnership with the Head of school realign existing resources when necessary.
Accounting
- Manage daily and monthly accounting functions, ensuring accurate and timely financial data entry as well as the timely monthly close of accounts;
- Prepare accounting reconciliations and journal entries including payroll, fixed asset, and investment activity.
- In partnership with Advancement, review contributions and restrictions to ensure accurate presentation in the financials. Tracks spending against restricted donations.
- Prepare quarterly sales and use tax return.
- Enforce compliance with accounting related policies and procedures. Proposes internal control recommendations as needed.
- Reconcile all cash, stock, and in-kind gifts from the Raiser’s Edge module of the Blackbaud accounting system, working in conjunction with the Advancement Office.
Audit
- Plan, coordinate, and oversee the annual financial audit, ensuring audit timeliness and completeness.
- Serve as liaison with an independent audit firm.
- Prepare client assistance package information for auditors, including footnotes and supporting schedules.
Student Billing and Accounts Receivable
- Manage students’ tuition accounts in all related systems (Blackbaud Tuition Management and Quickbooks), including charges associated with extracurricular programming (Campbrain).
- Oversee student billing invoices and parent communications regarding tuition accounts.
- Analyze and ensure timely collection of student billing. Escalates aged balances as necessary.
Tuition Assistance
- Member of the tuition assistance team and manages the tuition assistance process.
- Support the management of tuition refund insurance.
Facilities Planning
- Oversee school operations related to facility, safety, waste management, and janitorial.
- Prepare budgets and forecasts for capital projects and all decisions having a financial impact, and both short- and long-term planning.
- Oversee capital projects, existing and new construction, renovations, and develop deferred maintenance schedules.
Risk Management
- Oversee risk management including application of insurance renewals, maintenance of policies, standard insurance language, releases, and waivers.
- Collaborate with general counsel and/or insurance broker regarding all Risk Management matters.
Human Resources
- Collaborate with the Head of School to provide leadership regarding employee compensation and benefits.
- Coordinate with PEO to support the administration and management of all employee benefit programs including health insurance, retirement, worker’s compensation, life insurance, and other related plans.
- Serve as the on-site consultant to all employees in matters related to human resources such as reviewing payroll, overseeing the employee onboarding process, leave coordination, performance management documentation, employee terminations, etc.
- Oversee the development and maintenance of the school’s personnel policies and procedures, employee handbook, personnel forms, and recommends changes to school administration.
- Approve semi-monthly payroll and oversee execution of semi-monthly payroll by third-party;
- Responsible for managing all employee records in accordance with state and federal regulations
- Prepare employment agreements for faculty and staff.
- Oversee contracted HR and technology teams.
Endowment Management
- Coordinate with the Finance Committee, endowment consultants, investment managers, and custodian ensuring effective adherence to endowment policy, allocations, performance, and reporting.
Grants and Other Revenue Streams
- Administer grants from regional, state, and local grantor agencies, serve as primary liaison, and ensure compliance with all grant requirements.
Skills and Work Experience
- Bachelor’s Degree in accounting, finance or business administration.
- 5-10 years’ work experience in a financial and/or operations leadership position.
- MBA or CPA certification preferred.
- Outstanding communication skills, both oral and written.
- Excellent organizational skills and attention to details.
- Knowledge and experience in setting up effective financial controls, and proven financial
- modeling and forecasting skills.
- Effective negotiation skills in developing contracts with external vendors.
- Knowledge of Blackbaud preferred.
- Experience in an educational or non-profit setting is preferred.
