HR Representative - IHR Matrix Teams

Job Summary
Under general supervision of the Team Lead or the Human Resource Associate, provide routine support to the assigned matrix team within Illinois Human Resources.
Duties & Responsibilities
Data Entry
- Enter all applicant exam scores and demographics into State Universities Civil Service System (SUCSS) e-Test system.
- Pull metrics from reports and enter into the Matrix Team master spreadsheet
- Assign exam ID to candidates.
- Send/Retrieve ‘Open Status Req’ emails from group inbox
- Send/Retrieve ‘Approval Form’ emails from group inbox
Communicate with Applicants
- Send denial emails and disposition disqualified candidates through Cornerstone.
- Send qualified but not referred emails to candidates through Cornerstone.
- Send email blasts & Interest letters to base registers for trades.
- Send out applicant status notification emails when a search closes without a hire.
- Attend and assist with internal hiring efforts helping to teach current employees about the University process and/or help units with large hiring efforts
- Answer and refer phone calls for the matrix team
- Under guidelines provided by Illinois Human Resources, assist with the collection of supporting documents in the process of reviewing credentials
Posting Vacancies
- Post and format all civil service (traditional and custom), academic professional, and faculty positions – ensure posting follows correct University and Civil Service rules.
Completing Closeout Process
- Verify employee hire date and salary in HRFE match data in PRMS
- Close out positions in SUCSS e-Test and Position Register Management System (PRMS).
- Follow up with units on open vacancies to ensure timely closeout by units
Other Duties as Assigned
- Provides support to Matrix team as needed
Minimum Qualifications
- High school diploma or equivalent.
- Any one or any combination totaling two (2) years (24 months) from the following categories below:
- Course work in human resource administration, business administration or a closely related field, as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate’s Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Progressively more responsible work experience maintaining, monitoring, and/or processing human resource records and reports.
KNOWLEDGE, SKILLS AND ABILITIES (KSAs)
- Knowledge of principles and processes for providing customer service.
- Knowledge of basic arithmetic, algebra, statistics, and their applications.
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, data entry, designing forms, and other office procedures and terminology.
- Ability to identify complex problems and review related information to develop and evaluate options and implement solutions.
- Ability to communicate effectively for the needs of the audience.
- Ability to perform repetitive duties and detailed work accurately.
- Ability to work with frequent distractions.
- Ability to work with electronic data processing hardware and software.
- Ability to interpret work related documents, policies, and procedures.
- Ability to process and handle confidential information with discretion.
Appointment Information
This is a 100% full-time Civil Service 2135 - Human Resource Representative position, appointed on a 12-month basis. The expected start date is as soon as possible after 3/31/2024. Salary for this position is $44,000.
