Job description

Manage and provide end user support for the various technologies utilized within the Office of Undergraduate Admissions and Enrollment Management Services. Support and direct staff members with technology related duties. The Systems Specialist collaborates and works closely with University constituents and 3rd parties to accomplish daily work as well as short and long-term projects, as well as identifies, recommends and implements technological solutions to meet the operational needs and goals of the Office of Undergraduate Admissions as well as Enrollment Management Services. This position is a Grade: 10-40 with an approximate salary range of $64,330-$78,260 and is subject to change based on experience, skills and qualifications

1. Manage and provide end user support for the various technologies utilized within the Office of Admissions and the areas supported by the Enrollment Services Center. The technologies include, but not limited to: Enrollment Rx and Salesforce; Banner and related Ellucian products
*Configure, monitor, maintain and troubleshoot EnrollmentRx/Salesforce systems as necessary to provide end-users with needed functionality. This includes creation of fields, forms, workflows and process builders within the system
*Identify, recommend and implement technological solutions to meet the operational needs of the Admissions Office and Enrollment Management Services
*Lead implementation of solutions in the Admissions Office and Enrollment Management Services
*Collaborates in the decisions regarding established technical systems within the Admissions Office and Enrollment Management Services
*Monitor new and emerging technologies and upgrades to existing technologies in operations management for the Admissions Office and Enrollment Management Services
*Ensure compliance with university security requirements, privacy regulations and other standards, policies and procedures, including FERPA regulations

2. Support and direct the staff of the Office of Admissions and Enrollment Services Center with their technology related needs
*Provide technology leadership with the Office of Admissions and Enrollment Management Services at regularly scheduled meetings
*Identify needs of the Office of Admissions and Enrollment Management Services through observation of processes and of consulting with colleagues
*Possess an understanding and familiarity of the processes and procedures relative to a college admission office (both undergraduate and graduate)
*Develop and maintain an up-to-date knowledge and familiarity of the processes and procedures relative to a college admission office as well as a general knowledge of the University and its structure
*Train staff of the Office of Admissions and Enrollment Management Services on new systems and create/maintain documentation regularly
*Support the staff of the Enrollment Services Center with any Undergraduate related technology issues, including how to process, enter and update Undergraduate data
*Support existing and implementation of new solutions for the Office of Admissions and Enrollment Management Services including training and documentation
*Communicate and implement any technical updates to end users in the Office of Admissions and Enrollment Management Services

3. Provide additional support for as needed for the other systems managers in the Enrollment Management office group supporting Undergraduate Admissions, Financial Aid and other offices central to student success
*Work with internal and/or external technical staff to communicate Office of Admissions and Enrollment Management Services needs to facilitate projects
*Work closely with counterparts in the other Enrollment Management offices specifically Graduate Enrollment Management, Office of Financial Aid and Office of the Registrar
*Support the staff of the Enrollment Services Center to ensure undergraduate data is entered consistently and accurately and it will meet the needs of the areas supported
*Collaborate with other staff of the Enrollment Management office group with report writing skills
*Participate in monthly meetings with stakeholders from LTS and EM systems managers to keep open the lines of communication and collaboration

4. Responsible for the accuracy of the data in the systems used within the Office of Admissions and the Enrollment Services Center. These systems include, but are not limited to: EnrollmentRx/Salesforce and Banner
* Manage and monitor data loads into Enrollment Management Services systems
*Facilitate and collaborate with Enterprise Systems and other areas of Enrollment Management and the University to ensure accurate and timely data synchronization between Enrollment Management systems to Banner and other University systems
*Ensure the integrity of the data originating from the Office of Admissions and the Enrollment Services Center in the various Enrollment Management and University systems
*Support the staff of the Office of Admissions and Enrollment Services Center with respect to reporting. Assist in the creation of reports when needed; train and assist the staff in creating their own reports

5. Collaborate and work closely with University constituents and 3rd parties to accomplish daily work as well as short term and long term projects
*Participate as needed in Library and Technical Services (LTS) meetings
*Represent the Office of Admissions and/or the Enrollment Management Services to internal and external constituents that impact technology related functions
*Participate at technology related conferences and other types of training and professional development. Conferences may include: Ellucian Live, PA Banner User Group, EnrollmentRx Conference
*Investigate possible solutions by working with colleagues on campus as well as technical vendors and colleagues at peer institutions
*Work effectively as part of a team to integrate data between EM systems and Banner to ensure data is accurate in our systems of record
*Assist in the development and offering of Enrollment Management Week training for academic affairs unit

6. Provide basic hardware support for the Office of Admissions and the Enrollment Services Center
*Manage hardware inventory for the Office of Admissions and the Enrollment Services Center. Responsibilities include refreshing hardware on a set schedule
*Support the staff of the Office of Admissions and the Enrollment Services Center as the first line of support with hardware issues
*Act as a liaison with Library and Technology Services (LTS) needed, e.g. when more in depth support is needed or to process orders

Qualifications

Bachelor's Degree in Computer Science, Business Information Systems or a related field

Three to five years of related work experience

Demonstrated skills and capabilities in analytical and critical thinking, complex problem solving and team leadership

Experience with Salesforce and/or Ellucian Banner is a plus

Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
