Position Details
Wesleyan’s Continuing Studies programs currently include Graduate Liberal Studies ( GLS ), Bachelor of Liberal Studies ( BLS ), undergraduate Summer Session and Winter Session and undergraduate Community Scholars. Continuing Studies also incubates new academic programs as pilot projects by developing program models and budgets.
Reporting to the Director, this position is responsible for the financial affairs, data integrity, reporting, project management, and financial aid for all programs in the Continuing Studies department, which includes part-time undergraduate and graduate programs. Using expert knowledge of data structure, systems, accounting regulations, financial aid regulations, and University policies, the Associate Director maintains and maximizes usage of systems to recruit and support students, develops and provides regularly scheduled and ad-hoc reporting to management, student advisors and recruiters, and maintains financial health of the department.
This position will supervise the Administrative Assistant in who supports all programs as needed.
Responsibilities include:
Budget development, financial reporting, expense approval, and working with the Controller’s office on year-end revenue and expense processing.
Work with Director to develop proposals, budgets, and projections for new programs as the need arises.
Propose tuition, set up refund structure, and reconcile enrollments and tuition to financial system.
Chair financial aid committee for graduate program, maintain application and student contribution calculations using Federal Methodology.
Oversee Student Records (currently PeopleSoft, will migrate to WorkDay over next 1-2 years): project management of student data initiatives; manage data architecture; manage and implement upgrades; analyze data and provide regular reports for internal and external use; and manage registration and grade rosters.
Maintain integrity of student data structure for current programs, develop data structure for new programs, degree audits.
Research and propose solutions to fiscal, system, and academic issues.
Evaluate proposed policies, procedures, and new programs for compliance with existing University policy and government regulations.
Provide scheduled and ad-hoc internal reports and support other departments with external reporting.
Train and support co-workers on all systems.
Other duties as assigned.
This position is a hybrid position with on-campus and remote work schedules.
Remote work is only considered for residents of MA, VT, NH, ME, CT, RI, or NY. (Relocation assistance to CT is available for those who qualify).
Minimum Qualifications
Bachelor’s degree in accounting or business with minimum of 5 years related experience.
Demonstrated advanced accounting skills and knowledge of GAAP .
Demonstrated competence in interpreting and applying complex regulations to new situations.
Advanced Excel skills.
Direct or indirect supervisory experience.
Experience using databases, extracting and analyzing data, and running reports.
Demonstrated ability to maintain confidential data.
Demonstrated ability to communicate effectively with technical, finance, and non-technical staff.
Proven ability to set work priorities, to work independently to accomplish tasks, and to manage multiple projects simultaneously in a fast-paced environment while meeting deadlines.
Ability to independently research and resolve issues by finding and using internal and external resources.
Demonstrated customer service skills.
Demonstrated commitment to work within a diverse environment and work collegially with individuals of different backgrounds.
Ability to work some evening/weekend hours and travel as needed.
Preferred Qualifications
MBA plus 4 years related experience.
Previous experience working in higher ed.
Basic understanding of Title IV regulations and Federal Methodology needs analysis.
Experience with Slate.
Experience with system upgrades.
Experience with report writing systems.
Excellent written (grammar/composition/edit/proof reading) and verbal communication skills.
