Job description
The Training Coordinator works for the Change Management Lead to form the local SAP Organisational Change Management (OCM) Team. The OCM is responsible for supporting the local business through their change journey to maximize system adoption of SAP and achieve stabilization of new processes and ways of working.
The primary responsibility of the SAP Training Coordinator is to work for and support the Change Management Lead with a range of change management activities. During the lifecycle of the project, the focus will shift from early engagement activities to facilitation and organization of communication campaigns and events, to planning and management of the training schedule, logistics, administration, tracking, and reporting, and then finally to support with the logistics of SAP access and go live.
The SAP Training Coordinator will be onboarded to understand the Reckitt Change Management Methodology and will receive a detailed induction to understand all our tools, templates, and how to administer our training content on the Reckitt Learning Management System SuccessFactors.
Responsibilities
Change Enablement
- Support the OCM lead with coordination and logistics of the Change Impact Assessment workshops
- Follow up with SAP Super Users on the status of their change impact actions and update the activity tracker
Internal Communications
- Support with the logistics and coordination for the project kick-off event
- Support the OCM lead and Communications Analyst with occasional execution of activities on the comms plan including coordination of town halls, planning SAP breakfasts, facilities planning, managing invites, and preparing/printing materials
- Possible support to translate messages from English into local language
Role Mapping
- Support the OCM lead with role mapping activities by coordinating role mapping workshop meetings, taking notes during the meeting and updating the SAP access mapping template (mapping end users to SAP job roles), liaising with Super Users and the deployment team
- Ensure organized document management in SharePoint
- Help the OCM Lead to alleviate any high Segregation of Duties (SoD) risks and other quality-related risks around the assignment of access to users by chasing key stakeholders for input and feedback
- Understand the process and support the maintenance of the Role Mapping file change log
Training
- With the support of the deployment team, complete the local education and training needs analysis (TNA) so that the training load can be determined
- Connect with relevant stakeholders to assess translation requirements and support translation coordination and tracking e.g., status of translation quality review by SAP Super Users
- Support logistics and administration of train the trainer session
- Work with the central OCM team to confirm training delivery methods (e.g., classroom, self-paced online learning) and work in close collaboration with senior team leads to build the local training delivery schedule
- Manage training administration and logistics including facilities planning, invitations, monitoring attendance, and collating and reporting on end-user feedback
- Use of the Learning Management System to mark classroom attendance and monitor training completion
- Hands-on stakeholder management to ensure completion of training is done on time, active chasing of users to complete training on time will be required
- Report on training completion with use of Excel and Power BI for the local leadership team
- Maintain a log of training completion by the user for SAP access provisioning at go-live
Required Experience / Personal Attributes
- Ideally has operated in a similar training coordination role before and has a passion for learning & development
- Ideally has administration experience of a Learning Management System
- Experience of using Excel (e.g., pivot tables, VLOOKUP, etc.) for in-depth analysis/reporting and an eye for detail for data accuracy
- Demonstrates good communication and influencing skills both verbal and written
- Excellent English and local site language skills, both verbal and written
- Determined and resilient to solve problems
- Demonstrates organized and methodical approach to work
- Able to build trust and rapport quickly with new stakeholders
