Job Description

The Area Sales Coordinator assumes a pivotal role, providing support for the remote sales team for White Barn Inn, The Vanderbilt, The Mayflower Inn & Spa and Wildflower Farms. 

Duties include the coordination of all daily needs required to assist the area sales team and the area director of sales; including prospecting and qualifying group leads, managing Delphi bookings, advanced planning and preparation of site inspection and VIP visits, working in cooperation with the events team to host planning sites, working in cooperation with other departments, and assisting with pop-up site visits as needed. Face-to-face interactions with guests and staff and written communications with clients are critical job functions.

KEY RESPONSIBILITIES

• Create contacts, accounts and bookings in Delphi.
• Update comments, details and other booking modifications in Opera. 
• Run arrivals reports, VIP reports and others in Opera. 
• Communicate planning and amenities for upcoming clients stays.
• Planning, preparation and hosting group site visits, which may include client entertainment.
• Assist sales team with Delphi accounts lead entry/bookings management, contracts, proposals, lead qualification, prospecting, turnovers, expenses reports, trip reports, group invoicing, etc. 
• Assist with advanced sales trip planning and post-trip follow-up.
• Monitor daily glitch reports for in-house groups and VIP guests on behalf of sales manager. 
• Manage in-box of manager when out of office. 
• Assist with VIP reservations and partner with reservations as needed.
• Preparation of discovery visits and other high-touch client stays. 
• Pre-planning and preparation for site visits and VIP stays in collaboration with sales managers.
• Participate in planning sites in tandem with the on-property operations team.
• Work remotely from each of the properties with a regular cadence to maintain relationships and property knowledge. These days will be planned in conjunction with Sales Managers’ site visit schedule to support collaboration. 
• Attend Daily Property Lineups on behalf of sales team.
• Attend Daily DBR call with Group Sales Managers to foster clear communication while working in a remote setting. 
• Conduct site inspections when the sales manager is not on property or otherwise not available.
• Meet/greet group clients and VIPs upon arrival and departure as needed. 
• Assist with any other job related support that is required by the sales team. 
• Collaborate with and maintain a successful, positive working relationship with on-property as well as remote teams.
