HSA OVERVIEW
Founded in 1957 , Harvard Student Agencies, Inc . is a multi-million-dollar non-profit that provides Harvard students with meaningful opportunities for employment and hands-on business education.
POSITION OVERVIEW
This position is responsible for financial operations which may include payroll, accounting, accounts payable/receivable, procurement, capital projects, and other functions. HSA prides itself on the fact that it is almost a 100% student-run organization. Any candidate for the role must enjoy working in a teaching environment as this role will regularly provide hands-on experience to student managers, all of which are undergraduate students at Harvard University. This position reports to the HSA Chief Financial Officer.
KEY RESPONSIBILITIES
General accounting functions:
- Full cycle month-end and year-end closings including monthly processing of journal entries and the monthly reconciliation of all balance sheet accounts.
- Reconcile, monitor, and review business purpose support for all credit and procurement cards.
- Reconcile and apply multiple payment application systems, including cash receipts.
- Review and approve accounts payable invoices, and reimbursement forms, as well as maintain payable records for custom orders.
- Prepare monthly outstanding accounts receivables report and collection plan.
- Assist the Student CPOs in the payroll process/reporting.
- Manage daily banking operations including wires/ACH processing, fund transfers, and fraud monitoring.
- Assist with new system implementations.
- Prepare and/or review State, Federal, and Payroll quarterly tax payment reports.
- Cross train to understand and back up the accounting responsibilities of all companies.
Support the student experience:
- Support and mentor undergraduate employees to fulfill organizational goals of providing a business experience for the benefit of Harvard students.
- Assist with student staff orientation, training and development, and workflow.
- Support the financial training curriculum for student managers.
- Troubleshoot student manager problems and ensure student manager submits timely and accurate information for the month-end close process.
Provide Financial Planning, Analysis and Reporting:
- Provide monthly consolidated financial statements. In conjunction with the Chief Financial Officer, assist student managers with a preliminary review of operating results to provide accurate financial reporting to the HSA Board of Directors.
- Support the development, forecast, and administration of complex budgets.
- Develop and design financial reports for management. Meet with student managers to discuss financial results and any additional entries that may be needed for the monthly closing process.
- Provide management with recommendations in the development of financial policies.
- Ensure compliance with Harvard Student Agencies policies and procedures and applicable legal rules and regulations.
Typical Core Duties:
- Perform financial operations that may include payroll, accounting, accounts payable/receivable, procurement, research administration etc.
- Verify budgets, identify, analyze, and resolve discrepancies.
- Perform financial analysis to forecast revenue, expenses, and income.
- Develop and design financial reports for management.
- Provide technical advice and problem resolution for a school/unit financial community on financial administration.
- May provide training to students.
- Provide management with recommendations in the development of financial policies.
- Ensure compliance with university policies and procedures and applicable legal rules and regulations.
Basic Qualifications
- Bachelor's degree in Accounting or equivalent work experience required
- Minimum of 5 years' relevant work experience
Additional Qualifications and Skills
- CPA or MBA preferred.
- Excellent oral and written communication; strong organizational, problem-solving, and analytical skills
- Attention to detail.
- Exceptional customer service skills.
- Demonstrated ability to successfully manage multiple projects on deadlines.
- Ability to work independently and as part of a team in a fast-paced, deadline-driven environment.
- Knowledge of Microsoft Office Suite, advanced excel skills.
- Demonstrated experience with automated financial systems and data query tools.
Working Conditions
- Work is performed in an office setting. This is a 35 hour a week on-campus position.
