Job description
Gallagher Promotional Products provides promotional materials and advertising specialties to businesses that include automotive dealers, schools, churches, real estate agencies, associations, marketing agencies and retail stores. We currently have customers in all 50 states and many foreign countries.
Our products range from industry-specific items for the automotive industry to products like flags, balloons, banners, and signs used by any business. In addition, there are more than 600,000 advertising specialty products available that can enhance our client's brand identity.

Gallagher Promotional Products is currently hiring for a Purchasing Coordinator:
Job Summary
Responsible for the coordination of all aspects of custom orders between the customer, vendor, and all internal departments to include Sales and Accounting, in an efficient, timely and accurate manner.
Job Functions
This position is responsible for performing a variety of functions including, but not limited to:
- Receives and processes all customer product work orders (new and reorders) from Inside Sales and Outside Distributors.
- Maintains quality control systems to ensure accurate data entry, artwork, gross profit and production requirements are met through all stages of the order process.
- Follows and ensures art approvals are sent to customers within the set time frame.
- Assists the Sales Team in facilitating the close of the sale by providing excellent internal/external customer service.
- Maintains a working knowledge of all catalog items including productions times, production limitations & processes, vendor art templates, vendor print and material colors.
- Proofs all artwork and serves as the main contact between the customer and the Graphic Designer and vendor.
- Generates purchase orders and sends all artwork to the production vendor.
- Serves a vendor contact for all questions or problems including A/P invoice discrepancies.
- Maintains communication with vendors on open purchase orders to ensure timely completion of jobs.
- Updates NetSuite with approval, order date, ship date and other significant customer/vendor contacts.
- Informs Purchasing Manager of any cost or product changes received from vendors.
- Research/negotiates vendor costs on high quantity or non-catalog items.
- Provides freight costs when needed.
- Provides weekly updates to sales reps on all open custom Sales Quotations.
- Runs queries and reports to ensure all Sale Quotes, Sales Orders and Purchase Order are processed in a timely manner.
- Maintains the custom product sample cabinet inventory.
- Maintains a knowledge of stock vendors, products and ordering processes.
- Provides coverage for other Purchasing Coordinators as needed.
- Research and contribute in the development of new products.
- Follows complaint procedures and assists in maintaining GPP’s “Satisfaction Guaranteed” policy.
- Other duties and responsibilities as assigned.
Job Requirements
- High school diploma or equivalent
- Must be willing to work onsite Monday – Friday 9:00am-5:30pm
- NetSuite experience preferred but not required.
