We are seeking a highly organized and detail-oriented Construction Management Assistant/Documents Control to join our team. This position will be responsible for document control for construction management projects related to the SFWMD. The responsible person will support the Construction Management Team by providing assistance related to documenting construction contract compliance and uploading data and information to a share point site for use by the CM/CMS Team.

Responsibilities:

• Working with EBuilder software to control and record construction management documentation.


• Coordination and processing of Quality Assurance/Inspector Daily Reports for inclusion


• Coordinate and distribute construction documents, such as drawings, specifications, and contracts, to the appropriate project.

• Review and process incoming documents, ensuring accuracy and completeness.

• Maintain physical and electronic filing systems for all construction documents, ensuring easy retrieval and accessibility.

• Implement and manage document control procedures, including version control and document numbering.

• Assist in coordinating the review and approval process for construction documents, tracking progress and ensuring timely responses.

• Collaborate with the project team to ensure all construction documents align with project specifications and requirements.

• Assist in preparing and maintaining project logs and reports, including requests for information (RFIs), change orders, and submittals.

• Provide support in organizing and coordinating project meetings, including scheduling, preparing agendas, and documenting meeting minutes.

• Assist in preparing and distributing project progress reports, highlighting critical milestones and potential issues.

• Support the project team in maintaining effective communication and collaboration with subcontractors, suppliers, and other project stakeholders.

Requirements:

• Bachelors Degree in Science, Engineering, or Construction Management discipline.

• 5-8 years of experience in construction project coordination or document control.

• Proficiency in document control software.

• Strong organizational skills, with the ability to prioritize and manage multiple tasks effectively.

• Excellent attention to detail and accuracy.

• Strong written and verbal communication skills.

• Ability to work well in a team environment, collaborating with project team members.

• Knowledge of construction industry standards and practices.

• Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.

• Familiarity with building codes and regulations.

• Ability to adapt to changing project needs and deadlines.

• Strong problem-solving and critical-thinking skills.

• Strong time management skills, with the ability to meet tight deadlines.

• Professional and proactive attitude.

• A pre-employment drug screen in compliance with federal regulations is required, along with a physical if needed.

• Must possess a valid driver's license with a clean driving record without restrictions.
