Job Description
The position of Department Administrative Assistant is expected to support the Facilities organization and will report to the Sr. Director, Facilities & Real Estate.
Job Responsibilities:
- Serve as the point of contact and information sharing resource for the department.
- Frequent contact with all levels of company and extended corporation employees and managers.
- General Administrative Support (Agenda planning, scheduling, travel planning, phone screening, expense reports, event planning, report generation, etc.)
- Assisting with creating PowerPoint presentation materials.
- Assist with the management and upkeep of department documents.
- Organization and upkeep of file folder structure.
- Coordinate other administrative projects as assigned.
- Attend meetings; document and distribute meeting notes.
- Continually improve and automate where possible administrative processes through effective utilization of software without compromising work quality.
- Prepare and distribute correspondence, project updates, presentations and other documents.
- Maintain a high degree of confidentiality and discretion.
- Coordination and distribution of dept. newsletter.
Qualifications: - Entry level position
- Bachelors' Degree required and/or relevant work experience.
- Proficiency in using Microsoft Office: Strong PowerPoint skills, Outlook, Word, and Excel, Internet applications and Internal Data Base systems.
- Strong interpersonal and communication skills (Written and Oral)
- Strong problem-solving skills.
- Ability to work in a fast-paced environment.
- Detail oriented with the ability to multi-task.
- Ability to work independently on difficult projects with minimal supervision.
Desired: - Clear, concise, executive level communication skills
- Operates with a sense of urgency.
- Experience with Concur, Power BI/Tableau, and Smartsheet.
- Proficient in Japanese.
