Earl Warren College is one of the undergraduate colleges at the University of California, San Diego. Warren College is home to approximately 4,100 undergraduate students who may select any major offered by the university. The Assistant Academic Advisor has primary responsibility for "triage" services as well as overseeing the flow of the Warren College Academic Advising office. Screen and answer questions from students, staff, faculty or general public in person, by phone, e-mail or the Virtual Advising Center. Provide overall direction of petitions/forms and student traffic for front intake area of Academic Advising. Schedule appointments for students with advisors. Provide work direction for student staff. Maintain Academic Advising portion of theCollege website. Participate in the planning and preparation of the new student orientation programs. Other responsibilities include but are not limited to: working with academic advisors on unit operations and programs; enrollment advising; academic workshops; and participation in Orientation and Commencement. Provide direct administrative support to the Dean of Academic Advising in regards to data research and presentations, preparation of meeting materials, advising, business reimbursements, and filing.
Proven experience in planning and organizing meetings and special events including orientation.
Basic knowledge and experience working with a diverse student population. Proven ability to effectively listen, advise and counsel students on University and college program offerings, policies, procedures, curricular requirements.
Basic knowledge of UC and the department / school / college. Understanding of higher education goals, structure, and functions. Experience in higher education environment and/or familiarity with UCSD administrative and academic organization and operations, such as the UCSD undergraduate college system.
Ability to communicate effectively orally and in writing. Demonstrated excellent written and oral communication skills. Proven ability to understand, remember, and explain detailed information orally and in writing with accuracy and clarity.
Demonstrated accuracy and orderly work habits in dealing with large volumes of paperwork and detail. Ability to proof and correct own work. Working knowledge of standard correspondence formats.
Interpersonal skills. Excellent interpersonal and customer services skills (poise, active listening, tact, diplomacy, patience, discretion, assertiveness) to effectively interact with students, staff, faculty and the general public in-person, by telephone, and via e-mail.
Proven ability to utilize computer technology to support the mission and goals of academic advising. Proficiency in using personal computer for word processing, data entry, E-mail, spreadsheets, electronic calendar, internet searches, and website maintenance. Experience with or ability to learn Microsoft Word, Excel, Outlook, and other software adopted by the college. Experience in scheduling and maintaining multiple calendars in Microsoft Outlook.

Ability to interpret and compile data and academic material and provide detailed statistical reports or adapt it for presentation in brochures, flyers and general catalog. Ability to locate and utilize research/resource material.
