Accounting/Office Manager (onsite, non-remote)
Lawson Construction was established in 1989 and performs heavy highway paving and large commercial concrete infrastructure projects.
Position Overview:
We are seeking a detail-oriented, reliable, and self-motivated individual to join our team as an Accounting/Office Manager (small staff of 2). In this role, you will be responsible for managing all accounting, administrative, and human resources activities for the company, including bookkeeping, financial reporting, and ensuring compliance with financial regulations. Additionally, you will oversee the day-to-day operations of the office, including administrative tasks and managing office supplies. This position is Monday through Friday, onsite.
Primary Duties and Responsibilities:
1. Accounting:
- Oversee all general ledger accounting, including fixed assets and project inventories
- Maintain financial records, including general ledger, accounts payable/receivable, and payroll
- Oversee payroll, including coordination with PEO (Professional Employer Organization) and compliance with Davis Bacon wage requirements on federally funded projects
- Provide accurate WIP reporting and tracking
- Perform month-end processes
- Prepare and analyze financial reports (e.g. payroll tax reporting, sales and use tax, highway fuel tax, property taxes, etc.)
- Ensure accuracy, completeness, and timely processing of financial transactions
- Manage banking activities, including reconciliations, deposits, and cash flow management
- Coordinate and oversee the annual audit process
2. Financial Reporting and Compliance:
- Prepare and file accurate tax returns, including income, sales, and payroll taxes
- Ensure compliance with local, state, and federal regulations by staying up-to-date on tax laws and reporting requirements
- Collaborate with external parties, such as auditors and tax advisors to ensure timely completion of financial statements and reports
3. Contract management/Subcontractor Management:
- Ensure accurate contract preparation, documentation, monitoring, and maintenance and contract administration during various stages of a contract life cycle including requirements for federally funded projects
- Comply with all monthly reporting requirements on federally funded projects
- Review and assist in preparation of subcontractor’s monthly progress payments for work performed
- Review Lawson Construction project manager’s monthly progress billings/invoices for work performed
- Preparation of the monthly contracts in progress schedule
- Review job cost budgeting, costing, and reporting
4. Financial Analysis:
- Providing insightful analysis and recommendations to improve financial performance.
- Identify cost-saving opportunities and implement strategies to optimize financial operations.
- Analyze financial data to identify trends, variances, and areas of improvement, and provide recommendations to management.
5. Office Management:
- Oversee daily office operations, including managing administrative tasks to ensure smooth workflow
- Monitor and prepare applications for annual licenses and qualification permits for various governmental entities
- Manage office supplies inventory and order supplies as necessary
- Supervise and coordinate with office staff, ensuring a positive and efficient working environment
- Assist in organizing company events, meetings, and travel arrangements
Requirements:
- Minimum 3 years experience
- Construction accounting background strongly desired
- Strong knowledge of financial regulations and compliance and knowledge of federally funded contract requirements including Davis Bacon wages desired
- Must have good communication skills with bankers, insurance agents, subcontractors and owners
- Strong interpersonal and communication skills, with the ability to interact and work effectively with personnel at all levels of the organization
- Broad knowledge of all areas relating to human resource functions including basic OSHA safety rules and EEO regulations highly desirable as this position serves as the director of these areas within the company and handles compliance communication with external parties
- Able to work independently with minimal supervision
- Proven experience as an accountant or accounting manager, with office management responsibilities
- Proficient in accounting software and Microsoft Office Suite (especially Excel)
- Excellent analytical skills and attention to detail
- Strong organizational and time management abilities
- High level of integrity and professionalism
Salary Range Transparency: From $78,000.00 (commensurate with experience and qualifications)
