Carl R. Woese Institute for Genomic Biology The University of Illinois Urbana Champaign's Carl R. Woese Institute for Genomic Biology is releasing a multi-tiered position of a Proposal Development Assistant/Associate/Specialist to work in a fast-paced environment towards submissions of exciting interdisciplinary research proposals. The candidate will gain exposure to several federal and private foundation grants, interact with diverse faculty, and work closely as part of a highly collaborative grants management office team.
We are unable to sponsor an employment VISA or take over sponsorship for an employment VISA for this position now and in the future. Candidates must be authorized to work in the United States with no VISA sponsorship.
Job Summary The
Proposal Development Assistant supports the pre-award functions for externally funded sponsored research programs by assuming a role in the development and submission of proposals to federal and non-federal sponsors, under the direct supervision of the Assistant Director for Pre-Award and Grant Information Management.
The
Proposal Development Associate supports the pre-award functions for externally funded sponsored research programs by assuming a role in the development and submission of proposals to federal and non-federal sponsors. The Associate is responsible for maintaining familiarity with federal solicitations, changing federal regulations and guidelines, and University policy associated with research administration to support the effective management of research programs.
The
Proposal Development Specialist is responsible for pre-award functions for externally funded sponsored research programs, by developing and submitting proposals to federal and non-federal sponsors. The Specialist is also responsible for maintaining familiarity with federal solicitations, changing federal regulations and guidelines, and University policy associated with research administration to support the effective management of research programs.
Proposal Development Assistant - Duties & Responsibilities
- Assist the Department in developing and overseeing the submission of research, training, and development grant proposals with external funding agencies by serving as main point of contact/liaison to SPA, campus units, external agencies, and all other organizations and individuals involved in the development of a research proposal applications. This includes but is not limited to, large, complex programs and center grant proposals.
o Collecting, reviewing, and maintaining proposal documents for general compliance and formatting.
o Data entry related to completed standard forms and documents for proposal submissions and uploading proposals and details into the MyProposals portal and routing the entry to responsible individuals for approval.
o Independently review and interpret sponsor funding opportunity announcements and develop checklist of required materials,
o Identify all applicable federal and state statutes, regulations, sponsor and university policies, and program guidelines. Advise key stakeholders - investigators, director's office and other staff - how to comply and remain compliant with these regulations with tact and urgency. - Monitors changes in federal, state, University and Sponsor policies relative to grant and contract opportunities; makes information available to principal administrative personnel involved in sponsored activities.
- Prepares reports to Principal Investigators and Departmental administrators regarding status of proposals, grants and contract opportunities, or related information.
- Independently seek opportunities to increase overall office knowledge and services provided, including attending conferences and webinars. Manage multiple tasks effectively and with a high level of productivity. Independently seek opportunities for professional development. Perform other duties as needed to advance the mission and goals of the IGB Sponsored Research Administration group.

Independently apply the OBFS Accounting rules and coding, Cost Principles pursuant, state Cost Principles pursuant, and complex industry and non-profit cost policies. Quickly assess financial risk, in time-critical situations, and advise stakeholders how to minimize and/or mitigate the risk.
- Assists in developing departmental policies and procedures guiding the submission and initiation of proposals; monitors and evaluates requests for internal support for proposal completion.

Qualifications - Proposal Development Assistant Required: - Bachelor's degree in business administration, accounting, finance, economics, or a field related to the position.
Preferred: - One year of professional work experience in business, finance, or related field.
Qualifications - Proposal Development Associate Required: - Bachelor's degree in business administration, accounting, finance, economics, or a field related to the position.
- Two years of professional work experience in business, finance, or related field; Or one year experience in higher education environment.
Preferred: - Familiarity with grant regulations and guidelines.
- University of Illinois Certified Research Administrator Designation
Qualifications - Proposal Development Specialist Required: - Bachelor's degree in business administration, accounting, finance, economics, or a field related to the position.
- Two years of year experience in research administration or related field.
Preferred: - Experience with grant regulations and guidelines.
- University of Illinois Certified Research Administrator Designation.
KSAs - Ability to navigate complex situations in a fast-paced, high-pressure environment.
- Ability to complete tasks accurately and pay attention to detail.
- Ability to compile complex records and prepare routine reports.
- Ability to operate electronic and or other standard office equipment.

Difficulty: The position requires the ability to interpret and comply with university policies and procedures, as well as the procedures and regulations of funding agencies. Timely and accurate completion of tasks is essential. Position requires application of judgment and initiative in the performance of a variety of accounting duties. Personal Relationships: Works in a team environment with other business office staff with general supervision from the Assistant Director for Pre-Award and Grant Information Management. The position requires tactful and courteous interactions with external sponsors, external universities, researchers, students, staff, visitors, and other campus units. The work performed by this position affects other functions of the IGB Business Office, researchers, staff, students, and other campus units. Environmental Demands: Physical Requirements : The work environment is professional, fast-paced, and deadline-driven. Person in the position should show interest in the work, commitment to high standards of performance, and enthusiasm to tackle challenges in the position. The work involves sitting for long periods of time. Work Environment: The person in this position sits in an open cubicle in the IGB Business Office. There are constant interruptions and distractions from visitors, faculty, and staff. SALARY AND APPOINTMENT INFORMATION This is a full-time Civil Service classification position appointed on a [12]-month service basis. The expected start date is as soon as possible after the close of the search. Salary and hiring level will be commensurate with experience. The salary for the Proposal Development Assistant begins at $45,000/year, the Proposal Development Associate begins at $50,000, and the Proposal Development Specialist begins at $60,000.
