Job Description
The Georgia Center for Resources and Support (GACRS) Administrative Assistant is to carry out day-to-day organizational tasks facilitating efficient communication within the department and/or the entire office.
PRINCIPAL ACCOUNTABILITIES :
The Administrative Assistant is required to perform the following tasks:
- Responsible for Intake via phone calls from families; responsibilities include assessing caller’s needs, directing the caller to the most appropriate resource, obtaining demographic information, and posting caller information into the GACRS database.
- Develop tests for On-Demand Trainings to be listed on the website with the trainings.
- If requested develop the Kenny A Report every 6 months to submit for review to the program manager and send to Georgia Division of Family & Children Services (DFCS).
- Develop the annual DFCS Federal Report and submit it to the program manager for review then send it to DFCS.
- Input GACRS Monthly data and documentation received from GACRS staff, maintaining accurate statistical data and status reports at all times.
- Enter Intake data into the data management system as the point of entry for the GACRS program.
- Provide service for book requests from the Lending Library. Responsibilities include ensuring books are available, logging book send to data; mailing book; tracking returns and sending late notices for overdue books.
- Maintaining and being responsible for the GACRS Petty Cash funds; submitting fund usage to the program manager and accounting monthly.
- Hosting when required the GACRS table during conferences or other events.
- Responsible for GACRS phone calls and taking messages for staff.
- Maintaining the program calendar.
- Maintaining the program database and filing system so it is up to date and organized.
- Purchasing office supplies; sorting and delivering all mail.
- Participating in training that support knowledge and awareness of programs and other services within the agency.
- Provide coverage for the front desk as needed upon request.
- Other duties as assigned.

Qualifications
- Required
qualifications
include a minimum of a bachelor’s degree. - Experience in office management.
- Experience in computer technology; skilled at using Word, Excel, PowerPoint, and other Microsoft products.
- Above average oral and written communication skills.
- Should be a self-starter; willing to learn about different aspects of GACRS services.
- Capable of functioning as a positive team player with the GACRS team and agency personnel.
- Ability to respond appropriately to the cultural differences among the agency's staff and service population.
Additional Information
WORKING CONDITIONS:
Normal well-lit cubicle office environment where there is little to no physical discomfort due to temperature, dust, noise, and the like. May be required to meet with staff throughout the facility and in remote offices.
