Job description

Position Summary

The Secretary II will be housed within International Studies and Programs (ISP) to support the general office and event functions of the Canadian Studies Center (50%), the Center for European, Russian, and Eurasian Studies (25%) and the Muslim Studies Program (25%).

ISP is currently operating under a hybrid modality structure, with staff working three days in person and two days remotely.

Essential Duties & Responsibilities:

• (50%) General Office Support
  • Serve as primary point of contact for visitors
  • Answer phones and respond to email inquiries
  • Schedule meetings and arrange equipment needs
  • Monitor website revisions and updates
  • Order supplies
  • Maintain files, calendars, databases for contacts and mailings
  • Draft, proofread and edit correspondence or reports
  • Email event announcements and e-newsletters
  • Process travel requests, authorizations and reimbursements
  • Provide leadership to student employees, including assigning tasks, reviewing work and training and recording timesheets for payroll
  • Other duties as requested and as necessary to ensure efficient office operations supportive of the unit
• (50%) Event Support
  • Assist with event promotion (web, emails, radio/TV, print)
  • Track and submit event expenditures and revenue support
  • Prepare printed materials including fliers, brochures, badges, speaker photos and bios, agenda, program handouts, evaluation forms, registration forms, banners,
  • Coordinate speaker arrangements including travel, lodging, equipment needs, photo and bio

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education with coursework in typing and shorthand; one to three years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database, desktop publishing, calendaring and/or presentation software; typing and filing; and may require knowledge of technical or medical terminology and/or technical training related to the field of employment; may require bilingual abilities in a specific language; or an equivalent combination of education and experience.

Desired Qualifications

• Experience with proofreading and editing documents and web editing; experience with social media; experience with video recording and editing
• Experience with Enterprise Business System (EBS) and/or Kuali Financial System (KFS) as well as knowledge of University policies and procedures
• Experience supporting conference events, processing payment and reimbursements in EBS
• Evidence of fine attention to detail, organizational skills and problem solving skills and ability to juggle multiple tasks simultaneously
• Ability to set priorities and independently manage multiple deadlines
• Excellent communication skills, both written and verbal
• Ability to exercise tact and discretion in relationships with students, faculty, staff, and visitors
• Ability to work with diverse populations and be sensitive to cross-cultural conditions
