Job Description
40% Administration of Financial Aid Packaging and Awarding
- Administers financial aid packaging and awarding in the Student Administration System (SAKU). This includes coordinating mass packaging, summer awarding processes, manual awarding, and oversight of packaging special populations.
- Member of the KU FAS Packaging Team, assisting the Team's strategic decision-making about funding allocations and spending strategies, ensuring compliance with federal, state, and institutional regulations.
- Collaborates diligently with the staff in Student Lifecycle Technology to modify system set-up and utilize reports to ensure accurate execution of mass packaging processes. Evaluates options for streamlining processes.
- Develops, seeks approval and implements the policy and procedure for calculating the Cost of Attendance figures each academic year. May include conducting surveys.
- Conceptualizes, creates, reviews, and updates policies and procedures to effectively meet the goals and requirements of the programs, ensuring transactional activities are student friendly and compliant with federal regulations.
- Serves as the federal campus-based aid and state programs subject matter expert, keeping up to date on all regulations affecting packaging of aid. Conducts research and answers escalated questions from staff and administration in a timely manner.
- Ability to access secure data in the Federal Student Aid Application Systems (requires a valid social security number and applicant cannot be in default on a federal student loan).
- Supervises and coordinates work priorities for processing staff members, including developing reports.
35% Scholarship Management and UKASH Administration
- Serves as a content matter expert for the Blackbaud Award Management System (UKASH). Fosters the use of this system to maximize efficiency and effectiveness of data in support of decision making by end users.
- Exercises independent judgment on how to best implement and interpret KU Endowment Association scholarship agreements. Responsible for the oversight of all FAS KUEA funds, ensuring funds are effectively utilized and compliant with donor requirements.
- In conjunction with SLATE team, creates processes to ensure accuracy and timeliness of scholarship offers to prospective students.
- Collaborates with Associate Director of Awarding and Federal Programs to provide recommendations on budgetary processes and leveraging opportunities for FAS, including investment in matching programs.
- Oversees the creation of item types in Campus Solutions and dissemination of new fund information to appropriate partners.
- Oversees FAS undergraduate scholarship awarding practices, determining how to best utilize resources for awarding, tracking, and managing changes to scholarships. Responsible for overseeing the review of academic renewal criteria and appeal processes.
- Point of contact for academic units as they manage their Rising Student Scholarship dollars, providing data points to leadership.
15% Financial Education and Service Delivery
- Counsels prospective and current students and families regarding school-related financial aid concerns, and responds fully to escalated inquiries, including the application and awarding process, budgeting and the securing of resources to meet expenses.
- Responds to complex questions (including escalated calls and visits) from prospective students, current students, parents, campus colleagues and others regarding financial aid programs and additional funding needs to attend, progress and graduate.
- Assists with outreach activities (e.g. FAFSA completion, high school events) to support recruitment activities in conjunction with the KU Admissions office, as well as other financial aid events on campus for current students.
10% Supervision and Data Integrity
- Supervises three administrative associate senior positions.
- Provides training and timely feedback surrounding performance, including focus on data integrity, accuracy, and timely service delivery for constituents.
- Clearly and routinely communicates expectations for project completion and task completion.
- Utilizes My Talent to set expectations and goals and regularly address performance.
- Routinely audits data entry to ensure compliance with federal awarding rules, and state/institutional policies and procedures.

Preferred Qualifications - Experience working in compliance, financial aid, scholarships, admissions, advising or related area of higher education. Preferred minimum two years professional financial aid experience at a post-secondary institution.
- Experience creating efficiencies through technology, including experience with data query and analytics.
- Excellent communication skills as evidenced by the application materials and interview process.
- Experience with interpreting federal regulations and developing/implementing programs to comply with those regulations.
- Demonstrated strong service delivery skills, including working with a diverse population as evidenced by work history.
- Demonstrated experience and skill in problem-solving for a variety of situations.
- Experience in record keeping and ability to organize and manage multiple detailed tasks accurately.
Position Overview The Office of Financial Aid and Scholarships reports to the Vice Provost for Enrollment Management which includes the following functional units: Undergraduate Admissions, Graduate Admissions, International Admissions, Enrollment Marketing & Communications, Enrollment Management Services, Financial Aid and Scholarships, Student Lifecycle Technology, and the Office of the University Registrar.

The staff member in this position must effectively administer financial aid and scholarship programs in support of our mission to ensure access and support progression and performance of our students.
