Tasks
Customer Solutions & Innovation (CSI) is a sales organization servicing the top 115 global customers of DHL Group across multiple business units (BUs).
The Sr. Finance Business Analyst will have responsibility for all cost data for Americas region (AM) of CSI, for one or more company codes and sub-units.
Key Accountabilities
- Monthly “Closing” of Financial Cost data – working with back-office accounting teams to ensure monthly CSI Americas cost reporting is timely, accurate and compliant with IFRS (International Financial reporting Standards). Maintain full charge and complete oversight of general ledger and Balance sheet responsibility with a $3MUSD+ monthly cost expenses, manage month end closing process including but not limited to:
- Intercompany (IC) invoice process, accounts payable and receivable, journal entries, trial balance report validation and reporting. Uses local ERP enterprise resource planning (SAP) and DHL Group’s financial reporting system (CREST) to support effective monthly closing. Process, reconcile and track accruals and provisions according to accounting guidelines
- Responsible for a ~$500KUSD+ monthly accrual oversight for the CSI AM incentives plan; MIP (Management Incentive Plan), by doing salary validations, bonus target and attainment validation, working along with accounting payroll team to ensure accrual entry gets booked correctly on a monthly basis.
- Ensure that the monthly CSI IC fees of ~$3MUSD+ along with the Innovation Center A/R and any 3 rd Party Invoice fees are issued on time and tracked every month as required
- Prepare various monthly reports as needed
- Responsible for providing budget assumptions for the Americas region to assist sector controllers on their annual budget planning (rent, telecom, SLA, IT etc.)
- Variance analysis and deep dive investigations
- Balance sheet management forecasting - Cash Flow forecasting, maintains and prepares the monthly template, provides assumptions and variance analysis, schedule reviews with Regional Director and CFO on monthly basis.
- Fixed asset management – set up and maintain fixed asset management through online system
- Hosting Unit relationship management – assist Regional Director in ensuring CSI adheres to hosting unit controls, maintain processes and associated systems (GeT- Purchasing system, Basware Alusta- invoice processing, Journal entry system -Data Entry Tool (DET), Bizagi-Vendor Creation, Cost center, GL account creation,) working alongside hosting unit control tower team to resolve issues. Works with Accounts payable to resolve vendors payment issues. Answer questions related to CSI AM from all support departments such as legal, tax, procurement etc and other global business services.
- Documentation
- Maintain all documentation related to CSI AM : monthly close and operational processes.
- Maintains detailed documentation of the B/S Forecast, a go-to document that will serve as reference to understand the GL and BS accounts for CSI Americas
- Actively maintain Americas Finance SharePoint, which also serves as a repository of other important finance documentation of processes and procedures
- Internal Control System (ICS)– assist Regional Director in the oversight of ICS controls under hosting unit’s CRISP guidelines ( C ontrols & R isk I nternational S tandardization P latform)
- 3 rd Party Invoicing- set up and maintain manual 3 rd Party invoicing and related documentation as well as associated A/R management as needed by CSI AM
- Reporting & Analysis: Planning, directing, and coordinating reports and variance analysis of cost, capital expenditures and headcount data, A/R, performance and trends
- Sector Support: Support the Global Sector Controllers with cost analysis for AM.
- Americas Innovation Center (AMIC) financial processes and support
- General training and guidance on processes and policies
- Automation and Streamlining: Develop, recommend and implement innovative methods to ensure accuracy and streamlining of internal processes and reporting (First Choice, Six Sigma, continuous improvement and innovation). Improve efficiency by automation via PowerBI or other similar tools
Other responsibilities:
- Act as liaison and partner with global cost teams and controlling counterparts, to exchange information, provide reports, data validation and business analysis. Engage in various ongoing and ad hoc projects that help bring CSI Finance to the next level of services and performance.
- Key point of contact for Global CSI finance controller and CFO
- Builds strong internal stakeholder relationships.
- Develop strong relationships across AM country Business units. Liaise with accounting shared service centers in Costa Rica and Argentina as well as our local payroll accounting team.
- Support the Regional controller by helping in shaping the direction of the department ensuring adherence to Policies and Standards
Tasks & Accountabilities
- Maintain CSI financial systems (i.e. SAP/ CREST database for Cost, and other financial and operational data
- Prepare consolidated financial management reports.
- Ensure all deliverables are submitted on time . Prepare analyses, studies and recommendations based on financial and operational performance, and business trends.
- Reconcile cost accounts using technical skills and judgment to ensure all transactional activity is correctly classified (by GL account, cost center, Org. Unit etc.).
- Process financial data in accordance with accounting and controlling guidelines.
- Evaluate current financial and management reporting systems and recommend new practices, procedures and systems to improve operating efficiency and internal controls.
Skills & Qualifications:
Professional level contributor, typically requires:
- Bachelor Science ( BS) in accounting plus 6-8 years experience in accounting or related field (Finance, Business, Controlling) with IFRS or US GAAP experience required
- Masters in Science / Arts (MS/MA) in related discipline or 1-3 years of
Six-Sigma / First Choice
- Ability to deliver under tight schedules and competing priorities.
- Strong experience in MS Excel (e.g. Pivot Tables, charts, v-lookups, etc) required
- General, strong experience in MS Office Suite
- Corporate experience is preferred.
- English/Spanish bilingual preferred
- Experience in Access and/or Excel Macros highly desired
- Knowledge of ERP systems (i.e., SAP, Oracle, JDE, etc.) CREST and Power BI preferred. Good combination of technical skills, proactively engaged in digitalization efforts.
