20-year established Centennial-based law firm is seeking an experienced & detail-oriented Billing Manager. The successful candidate will be responsible for managing the billing team & process, ensuring accurate and timely billing, collections, and maintaining strong relationships with clients. The Billing Manager will also be responsible for implementing and enforcing billing & collections policies and procedures, as well as analyzing billing data to identify trends and opportunities for improvement.  We offer a close-knit team environment where every employee matters. Responsibilities: • Oversee the bi-monthly billing process, which includes preparing and distributing invoices, ensuring accurate recording of time and expenses, retainer replenishments, and following up on any outstanding payments. The Billing Manager will work closely with the Firm Administrator & outside accounting team to ensure accurate retainer accounts & revenue recognition.  • Manage a team of two Billing Specialists, providing coaching, guidance, and performance feedback as needed. The Billing Manager will be responsible for setting performance goals, conducting performance evaluations, and providing ongoing feedback and development opportunities.  • Develop and implement billing policies and procedures, and ensure adherence to these policies by the billing team and the firm's attorneys. The Billing Manager will work closely with the Firm Administrator to ensure that billing policies align with best practices and regulatory requirements.  • Oversee the collections process, which includes following up on outstanding payments, making adjustments to invoices as necessary, and working with clients to resolve any billing-related issues.  • Manage accounts receivable, which includes reconciling accounts, preparing and sending follow-up communications, and resolving any discrepancies.  • Analyze billing data to identify trends, opportunities for improvement, and potential issues. The Billing Manager will make recommendations for changes to billing practices as needed.  • Maintain positive relationships with clients by promptly addressing any billing-related concerns or inquiries, and proactively communicating with clients regarding any changes to billing practices or policies.  • Ensure compliance with all relevant laws, regulations, and professional standards related to billing and collections. The Billing Manager will stay up-to-date with industry regulations and best practices, and ensure that the billing team is trained on relevant policies and procedures.  • Stay up-to-date with industry best practices and new technologies related to billing and collections. The Billing Manager will evaluate new technologies and make recommendations for implementation as needed.  • Collaborate with other departments, including the marketing & legal teams, to ensure accurate and timely recording of revenue & retainer replenishments. The Billing Manager will work closely with the outside accounting team to ensure accurate revenue recognition, retainer replenishments and associated reporting.  • Prepare and present regular reports on billing and collections metrics to the Owner, Firm Administrator and leadership team. The Billing Manager will provide regular updates on key performance indicators, trends, and areas for improvement.  • Performs other related duties as assigned Qualifications: Education & Experience  • A Bachelor's degree in finance, accounting, or a related field is required or should have work experience in billing at an equivalent level.  • 5+ years of experience working in billing and collections, preferably in a law firm or professional services environment,    Required Skills/Abilities • Strong leadership and management skills, with experience managing a team of at least two direct reports, are required. • Excellent analytical, organizational, and communication skills are required. The Billing Manager must be able to analyze complex data, identify trends, and make recommendations for improvement.  • Proficiency in billing software, Microsoft Office, and other relevant tools is required. Experience with QuickBooks & legal billing software is preferred.  • A strong understanding of trust accounting & legal billing practices and regulations is required.  • The ability to work independently and manage multiple priorities in a fast-paced environment is required.  • Strong ethical standards and the ability to handle confidential information with discretion are required.  • A professional demeanor and excellent interpersonal skills are required. The Billing Manager will interact with clients, attorneys, and other professionals, and must be able to communicate effectively and build positive relationships.  • Excellent organizational skills and attention to detail.  • Excellent time management skills with a proven ability to meet deadlines.   Our office environment is congenial, drama-free and work/life/balance oriented and we are growing rapidly.
