The Finance and Administration Department is responsible for all financial, accounting, administrative, and technology matters for Amnesty International USA. The Finance and Operations Specialist is responsible for helping manage financial and operational systems, processes, administration, and internal controls in support of the organization's mission. The position’s primary goal is to ensure the day-to-day financial and administrative operations of the organization run effectively and efficiently. The Specialist will be joining a fully collaborative team which includes providing support to the other departments.. This role also requires managing the New York City office for AIUSA, located in Times Square, and will require a minimum of 3 days a week in the office, 4-5 days a week during busy seasons.
Essential Responsibilities
Office Management (New York office)
Assist the Senior Manager of Office Administration with facilities management to ensure a clean, supportive, and efficient work environment
Maintain internal office systems: phone, computers, cloud-based email & file management system, CRM and database systems, fax, physical mail
Maintain working relationships with building management and security personnel to ensure secure and efficient maintenance of the office suite
Evaluate, establish and maintain office security and event SOPs
Assist with office on-boarding of new hires, (e.g., workspace preparation and assigning access cards, and off-boarding of departing staff (e.g., workspace clean up and return of access cards)
Coordinate vendor relations (potentially Kaback, Kastle, Busy Bee, US Coffee, Pitney Bowes, Perfect Retention, and UPS), and ensure prompt payment of invoices
Coordinate the mailroom to ensure incoming and outgoing mail adheres to regulations
Notify staff of mail and packages delivered to their attention
Assist with proper storage of materials
Order general office supplies and maintain a stock of Amnesty stationery
Work with the IT Unit to support and maintain efficient office systems including printers, postage equipment, and AV equipment
Support AIUSA staff in coordinating logistics for onsite meetings and events
Assist in the creation of office procedures and protocols (such as checklists) and distribute to staff
Other duties as assigned
Finance
May prepare and assist others in preparing purchase requisitions, managing vendor contacts/relations, and preparing detailed bid specifications for capital outlay equipment, service contracts, and agreements
Provide support across a spectrum of accounting functions, encompassing accruals, accounts payable and expense management, accounts receivable and revenue management, electronic banking, budgetary planning, monthly reconciliations, and assisting in the month-end and year-end financial closures
Assist in the quality assurance of financial summaries prepared for stakeholders, the finance committee, and the board of directors
Contribute and assist in preparing accounting schedules for ad hoc financial analyses, annual audits, and special finance projects

Knowledge, Skills, Abilities
Sophisticated understanding of accounting cycles and processes, general ledger work, and detailed budget processes
Detailed oriented, systems thinker with a passion for spreadsheets, organizational systems, and data integrity
Excellent computer skills with proficiency in Microsoft Office, including Teams and Excel, and database systems
Experience using financial and expense management software like Financial Edge, PowerPlan and Concur
Strong interpersonal communication skills, including active listening, receiving and giving feedback, and communicating across teams
Open to direction and collaborative work style and commitment to get the job done
Ability to connect with people from a wide array of backgrounds and identities
Ability to learn quickly, take initiative, effectively solve problems, and work well under pressure
Willingness to work as a team on a variety of tasks
Education and Experience
B.A./B.S. and at least 5 years of relevant work experience in Finance and Operations. A degree in finance, accounting, or a related field is a strong plus but not required
Experience working with a non-profit highly desired
Physical Requirements
Prolonged periods of sitting and/or standing at a desk and working on a computer
Must be able to lift up to 25 pounds
Must be able to stand for long periods of time
