Job description
KDG Construction Consulting is seeking an experienced and exceptional Administrative Assistant to support the corporate team. Duties will consist of front desk oversight, property management assistance, accounting support and other administrative tasks. The ideal candidate will be professional, organized, have exceptional attention to detail, and solid time-management skills.
This position will report to the Manager of Corporate Services. The Administrative Assistant will be full-time (40 hours per week) and based in our Glendale, CA office. Hybrid and remote work are
not available for this position.
RESPONSIBILITIES: - Front Desk & Admin Support– Due to the nature of these job duties, the Administrative Assistant will be required to work during company business hours (8:00am – 5:00pm PST).
- Phone Operator – answer, screen and route all incoming calls. Distribute phone messages or note of calls, as necessary
- Greet any visitors or guests and direct to appropriate personnel
- Open, sort, and distribute office mail and deliveries
- Prepare, ship, and deliver packages using FedEx/UPS/USPS (as needed)
- Stock, order, and maintain office supplies
- Maintain company filing system, both electronic and physical
- Provide support for corporate event execution, as needed
- Ensure tidiness of reception area, conference room and kitchen daily
- Other administrative tasks, as assigned
- Accounting Support
- Processing accounts payable for multiple entries
- General bookkeeping
- Credit card statement reconciliation
- Payroll processing support
- Property Management Support
- Monthly invoicing
- Inventory
REQUIRED SKILLS AND EXPERIENCE: - 1-3 years of administrative work experience in a corporate environment
- High School Diploma is the minimum education requirement. Associate or Bachelor’s degrees in any discipline are highly desired.
- Demonstrated ability to follow instructions, multi-task, follow up, and be flexible to adjusted assignments, as necessary
- Strong self-motivation, time management, critical thinking, and organization skills
- Self-directed and able to work with minimal supervision
- Proficiency in M.S. Office Suite, specifically Word and Excel
- Ability to maintain a professional and positive attitude while demonstrating confidentiality and discretion
- Excellent written and verbal communication skills
