Job description
We are seeking a talented Community Manager Assistant to join our team. As a Community Manager Assistant, you will have the opportunity to work in a dynamic and rapidly growing workspace. Our team is dedicated to providing exceptional service to our clients. In this role, you will assist the Community Manager in various tasks such as maintaining relationships with clients, coordinating events, and ensuring the smooth operation of the workspace. We are looking for someone who is organized, detail-oriented, and has excellent communication skills.
Responsibilities:
- Greet all guests and members in a friendly manner. Guide guests to the correct suites as needed
- Handle guest inquiries, requests, and complaints promptly and courteously
- Ensure the workspace is clean, stocked, and well-maintained
- Report any issues or low-supply inventory to the Community Manager
- Maintain accurate records and documentation
- Being knowledgeable of all membership options and venue rental information
- Answer phones and aid callers as needed. Return calls and voicemails
- Encourage membership sign-ups and venue rentals. Provide office and venue tours as needed
- Assist guests with making, modifying, and canceling event or professional reservations
- Ensuring accurate and up-to-date information on room availability
- Track and note all incoming calls and leads in CRM
- Communicate effectively with other departments for guest needs
- Promote additional services or amenities to enhance the guest experience
- Review and sort mail, packages, and deliveries
- Assist the Community Manager as needed
- Aid in arranging office space furniture and shared space furniture/decor
- Ensuring all printed files, contracts, and promotional flyers are stocked and up-to-date
Qualifications:
- Displays impeccable interpersonal, time management, organizational, and customer service skills
- High school graduate, G.E.D. recipient, or equivalent
- Comfortable taking telephone calls and mitigating stressful situations
- At least one year of receptionist or administrative assistant, experience, or similar preferred
- Has previous experience with word processing programs and basic computer skills
