Job description

Job Summary: Answers and responds to all the calls to the clinic with medical concerns. Contact between the providers and the patient, or those agencies with related concerns.

Job Duties:
Essential Duties and Responsibilities :

1. Schedule patients to see providers on a same day basis, if necessary, and advise appropriate staff of the appointments scheduled. (People)
2. Facilitate appointments for patients at a later date if it is determined a same day appointment is not necessary. (People)
3. Answer and respond to all medical calls for 3 subspecialty areas coming into the clinic, following the appropriate protocols and procedures, communicating with the providers as needed. Including but not limited to (Quality):
• patient and pharmacy calls for prescription refills
• patients with medical questions, concerns, or request for test results
• concerns or requests from other health care agencies on mutual patients
• take messages for providers, on calls they need to return, when unable to deal with the situation.
• Schedules/diagnostic studies

4. Contact patients, as directed by providers or protocol, by phone or in
person, on lab and test results, and indicate follow un- require.

5. Document (type into electronic medical record) all medical contacts including who you spoke with, Date/time of call, what information they were given, and what follow-up instructions were given.(Quality)
6. Assist in an emergency when needed.(Service)
7. Provide treatments as ordered by providers, following appropriate protocols and the nursing process. (Service)
8. Establish protocols or indicate need for protocols, with providers and managers, as needed to accomplish a quality level of patient care. (Quality)
9. Provide treatments/answer questions for Walk-In patients.(Service)
10. Provide Post-Op call to surgical patients. (Service)
11. Follow-up work for staff who are out of the office.(Service)
12. Precertification for medications. (Service)
13. Assisting with physician calls on inpatients. (Service)
14. Triage for the other office locations as needed.(Service)
15. Reviews the schedule for the day for all three sites knowing availability of providers for urgent add on patients. (Service)
16. Maintains an accurate and complete electronic medical record on each patient including all Meaningful Use measures. (Quality)
17. Talks to patients and families utilizing AIDET tool; every patient every time. (People)
18. Accurately schedules tests, procedures, rechecks, post op appointments and referrals to other facilities and tracks results.(Quality)
19. Schedules surgical cases/procedures/injections and coordinate all aspects of the case. (Service)
20. Accurate and timely communication to other departments; VOB, Radiology, Surgery Supervisor (Service)
21. Conducts Patient Education; pre-op teaching for surgical/injection patient. (Quality)
22. Assists other providers and peers when needed.(Service)
23. May fill in for other medical staff, covering vacations, etc. on an as-needed basis.(Service)
24. Maintains written patient education materials; periodic reviews patient education handouts for accuracy and validity. (Quality)
25. Utilizes Standing orders (Quality)
26. Follows/Documents Triage Protocols consistently. (Quality)
27. Attends 90% weekly huddles, 80% monthly clinical staff meetings, and all training sessions.(Quality)
28. Manages work load and schedule by utilizing electronic tools such as Outlook, Task list, Excel (Financial)

Qualifications:

A) Education: Must be a graduate of a licensed school of nursing.

B) License/Certifications: Current Wisconsin RN License.

C) Experience: Three years experience as a Registered Nurse, in a hospital,
Clinic, or equivalent setting, is preferred. Previous Triage experience is preferred.

Physical, Mental and Visual Skills:

1. Working knowledge of the Nursing Process.
2. Knowledge of general office practices and procedures.
3. Ability to communicate with other employees, patients, providers, and other business contacts in a courteous and professional manner.
4. Ability to make decisions using your nursing education, the Nursing Process, and the policies/procedures of the clinic.
5. Knowledge of normal lab values.
6. Knowledge of normal medication dosages.
7. Knowledge of Universal Precautions.
8. Organizational skill; ability to organize work according to the most medically urgent to the least urgent in an efficient manner.
9. Ability to hear and speak well enough to converse over the telephone up to 90% of the time.
10. Ability to maintain confidentiality of records and information received.
11. Knowledge of ethical/legal requirements of nursing.
12. Skill in operating a personal computer, fax machine, and copier.
13. Ability to participate and pursue continuing education.
14. Documents accurately, objectively, and concisely on each patient interaction.
15. Recognizes and initiates appropriate action in critical situations.
16. Demonstrates teamwork and cooperation with co-workers.
17. Assumes responsibility for maintaining and upgrading own professional development.
