Job Description:

We are currently seeking an experienced Administrative Assistant to join our team in Santa Monica, CA. The ideal candidate will have at least 3 years of relevant experience in administrative roles and possess strong organizational, communication, and multitasking skills. As an Administrative Assistant, you will play a vital role in supporting the smooth operation of our office by handling various administrative tasks and providing assistance to team members as needed.

Responsibilities:

  1. Perform general office administrative duties, including answering phone calls, responding to emails, and managing correspondence.
  2. Greet and assist visitors in a professional and courteous manner.
  3. Schedule and coordinate meetings, appointments, and travel arrangements for team members.
  4. Maintain and organize office files, records, and documents both electronically and in hard copy.
  5. Assist with the preparation and distribution of reports, presentations, and other materials as needed.
  6. Coordinate and support special projects and events as assigned.
  7. Assist with inventory management, ordering office supplies, and maintaining office equipment.
  8. Provide administrative support to various departments and team members as required.
  9. Ensure the office environment is clean, organized, and presentable at all times.
  10. Adhere to company policies, procedures, and confidentiality guidelines in all administrative activities.

Requirements:

  1. Minimum of 3 years of experience in administrative roles.
  2. Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
  3. Excellent communication skills, both verbal and written.
  4. Strong organizational and time management abilities with keen attention to detail.
  5. Ability to prioritize tasks and manage multiple deadlines effectively.
  6. Proactive attitude with the ability to work independently as well as part of a team.
  7. Professional demeanor and customer service orientation.
  8. High school diploma or equivalent; additional qualifications in Office Administration or related field is a plus.
