Position Overview: The following job opportunity is available for an individual interested in providing support within the financial domain. The role primarily focuses on accounts payable functions and ensuring seamless operations within the finance department.
Key Responsibilities:
- Invoice Processing: Efficiently handle invoice processing tasks for multiple company locations. This includes matching invoices to packing slips and purchase orders, as well as coding them to the appropriate general ledger accounts.
- Payment Processing: Manage accounts payable checks printing and mailing, or alternatively, process ACH payments ensuring accuracy and timeliness.
- Data Management: Perform data entry tasks and maintain spreadsheets accurately.
- Record Maintenance: Organize and maintain accounts payable files and records systematically.
- Vendor and Employee Support: Address inquiries from vendors and employees regarding invoices, expenses, and check requests. Assist in discrepancy reconciliation processes.
- Audit Assistance: Provide support during annual audits by facilitating the retrieval of requested items.
- Tax Compliance: Assist in the preparation of annual 1099 forms while ensuring new vendor setups adhere to W-9 requirements.
- Journal Entries: Collaborate with the finance team in handling journal entries as necessary.
- Accounts Receivable Backup: Possess cross-training abilities to assist with posting payments within accounts receivable.
- Special Projects: Contribute to related special projects as assigned by supervisors.
Required Skills and Qualifications:
- Education: A one-year certificate from college or technical school, along with six months to one year of related experience, or an equivalent combination of education and experience.
- Technical Proficiency: Proficient in 10-key by touch, with demonstrated abilities in calculations. Proficiency in Microsoft Office Suite (Excel, Outlook, Word) is mandatory. Experience with SysPro is advantageous.
- Attributes: Detail-oriented individual committed to excellence, with the ability to follow instructions effectively. Must be a self-starter with strong organizational skills, capable of prioritizing tasks in a dynamic work environment.
- Communication: Ability to understand and follow both written and verbal instructions.
- Adaptability: Capable of adapting to changes in work environments and managing competing demands efficiently.
- Typing Skills: Must be able to type a minimum of 50 words per minute.
- Must Have 3 Way Matching experience
- Physical Requirements: Ability to stand, walk, sit, and utilize hand and finger dexterity as well as visual acuity. Occasional exposure to fumes and loud noises may be required. Lift and/or move up to 25 pounds occasionally.
