Working/Functional Title

Space Planner

Position Summary

Initiate, plan, and coordinate activities associated with planning, programming, and space management, as well as develop and lead the planning and implementation of space and facility-related initiatives.  Develop program statements and space analysis; prepare audits and analysis of space; develop plans and recommendations that support the university mission and its units, as well as appropriate utilization of facility resources; participates in the formulation of space policies, space planning guidelines, and metrics.  Develop and facilitate the execution of alterations and improvements projects to ensure that programmatic requirements are met through project completion, including alignment of scope and budget in accordance with plan.  Review space requests, identify solutions, and document terms of reassignment.  Serve as the liaison between academic and academic support units, Infrastructure Planning and Facilities, and other service providers.  Provide space planning assistance to user groups.

Characteristic Duties and Responsibilities

Percent breakdown of activities

20%        ; Planning activities to include collaborating with unit and University leadership to assess current and future programmatic space needs in alignment with unit growth trajectories, and contribute to unit strategic planning activities.

20%        Assess and address space requests and space management issues including locating alternative or additional space and coordinating logistics of unit relocations.

20%        Guide units from start to finish on space/facilities projects: develop program statements, define space requirements, identify and evaluate space options and creative solutions (e.g., renovations, furniture solutions, etc.), develop working budgets, ensure project completion and coordinate final move-in.

20%        Suggest, develop and maintain space policies, management guidelines and tools that support responsible stewardship of University space (e.g., office space guidelines, research space productivity metrics) taking into consideration new work location paradigms (e.g., hybrid).  Conduct space audits and space utilization analyses and assist units with Space Inventory reporting and updating.

20%        Collaborate with units, campus and external architects and consultants, and other planning partners during the scoping, design, and budgeting phases of larger scale projects to ensure both unit and institutional interests are met.

Unit Specific Education/Experience/Skills

Knowledge normally acquired by completing a four-year college degree program in an appropriate field of space management, data management, geography, planning, architecture, environmental sciences, computer science, engineering, or a related field; three to five years of related and progressively more responsible or expansive work experience in space planning and management decisions; interpreting maps, plats, and construction plans, AutoCAD, Building Information Modeling tools, CAD & GIS; REVIT Navis Works, electronic document management systems (EDMS); or an equivalent combination of education and experience.

Desired Qualifications

Knowledge normally acquired by completing a four-year college degree program in an appropriate field of space management, planning, architecture, engineering, or a related field; three to five years of related and progressively more responsible or expansive work experience in space planning and management decisions; interpreting maps, plats, and construction plans, electronic document management systems (EDMS); or an equivalent combination of education and experience. 

Spatial skills and the ability to read and interpret floor plans are also required.

Previous project management and capital planning experience in a university or college environment; self-starter with ability to manage multiple projects from conception to completion in a decentralized environment; experience with CAFM applications; working knowledge of AutoCAD;  strong interpersonal and communication skills (oral and written) with a customer service orientation; willingness and ability to listen, gather and analyze information, problem-solve and develop solutions, working with a variety of constituents from both academic and business environments; ability to establish and maintain effective working relationships with diverse teams of people at all levels of the institution; demonstrated commitment to the principles of diversity, equity, and inclusion. 

Experience with project management, and data collection and analysis.
