Facility Coordinator at a glance...

Under the supervision of the Facility Manager, the Facility Coordinator is charged with coordinating the day-to-day activities of the building staff and contract services in fulfilling the needs and addressing the issues of occupants. The Facility Coordinator is encouraged to develop and maintain strong working relationships occupants and be accountable to management for ensuring issues and needs are responded to and resolved by the appropriate individual, department, or vendor. This position will also have some responsibility for general administrative, accounting, and event coordination functions.

What's on the menu?

• Acts as the first point of contact for work orders, service calls, requests and issues. Directs work order requests to the appropriate staff or vendor for resolution including: landlord, engineering, maintenance, cleaning, mechanical and services.
• May self-perform work orders including light bulb changes, simple paint touch up, conference room set-ups, furniture reconfiguration, minor mechanical trouble shooting, box moves, etc.
• Responsible for issuing tenant work order requests to landlord and tracking through completion.
• Is the key on-site support staff for occupant relations. Must diligently support and maintain good working relationships with occupants and vendors. Handle moves, adds and changes in occupancy and assists with the coordination of employee events. Orients new occupants on building policies and procedures.
• Responsible for assisting the Facilities Manager in obtaining vendor bids for special work and/or services and supporting procurement in developing vendor service contracts.
• Assists Facilities Manager with day-to-day operation of the property in accordance with policies/procedures.
• Responsible for obtaining and filing vendor insurance certificates, maintaining emergency contact lists, issuing and updating building security list as required by site, and maintaining other records and files pertinent to the property.

• I have work experience in an administrative, accounting, or tenant services capacity with experience in data entry, basic reporting, and communications.
• I have prior experience working in facilities management, or commercial real estate.
• I am able to work independently, multi-task and to prioritize work requests
• I am mechanically inclined and physically able to self-perform minor facilities related work.
• I am computer literate with MS Office, Word, Outlook, Excel and PowerPoint.
• I am proficient in communicating at all levels in both oral and written form and competent at preparing professional, comprehensive memorandums, letters, reports, documents, files, etc.
• I have working knowledge of account payables, receivables, budgets, and expenditure control required.

Office Collaboration & Hybrid Work Environment
