The Clerical Administrative role is a crucial position within the organization, responsible for providing administrative and clerical support to ensure efficient operation of the office. This role plays a key part in facilitating effective communication and coordination between various departments and stakeholders, contributing to the overall productivity and success of the organization.
Key Responsibilities:
- Manage and maintain office filing systems and databases.
- Answer and direct phone calls and take accurate messages when necessary.
- Coordinate and schedule appointments, meetings, and events for executives and staff.
- Assist in the preparation of regularly scheduled reports and documents.
- Handle incoming and outgoing correspondence, including mail and emails.
- Perform data entry and maintain accurate records of various office activities.
- Assist in managing office supplies and equipment inventory.
- Provide general administrative support such as photocopying, faxing, and maintaining office tidiness.
- Assist in organizing and maintaining office common areas.
- Support the organization's team with various administrative projects and tasks.
Required Qualifications:
- Proven experience as an administrative or clerical assistant.
- Proficient in MS Office and other relevant software.
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- Ability to handle confidential information with discretion.
- Attention to detail and problem-solving skills.
- Ability to work effectively in a team environment.
- High school diploma or equivalent; additional qualification as an Administrative assistant or Secretary is a plus.
- Knowledge of office management systems and procedures.
- Ability to multitask and prioritize daily workload.
