Engagement with Undergraduate Students through Proactive Advising:

Under supervision of the ISE Department Chair and in direct collaboration with the ISE Department Undergraduate Program Coordinator, this position requires independent action, unsupervised decision-making and the ability to assume responsibility for Academic Support Services for the ISE Department. Responsibilities require the technical ability to develop advising and recruiting programs as well as to administer and execute these programs.

This position has responsibility for academic advisement of undergraduate ISE students in their second-year and beyond. The advisor is concerned for the individual student and their identification of appropriate resources to ensure student retention in the major. The advisor develops and conducts individual and group advising sessions, and prepares printed and web-site materials to guide student in decision-making. This position also coordinates student peer advising in ISE. The position ensures that all peer advisors receive necessary training offered by the HWCOE and EAC for peer advisors. 

The advisor understands and effectively communicates to students the latest policies on academic progress of undergraduate ISE students, including graduation requirements, student petitions, and probation and course substitutions, according to COE and ISE policies and procedures. This position also handles the transfer student application process for the department, including preparing paperwork for final processing by HWCOE.  The advisor keeps track of allotted enrollment slots for transfer student admissions. The advisor also handles academic probation contracts, including reviewing reports, evaluating cases, presenting cases to the academic team, developing contracts, and meeting with students on academic probation.

The position assists ISE undergraduate students in applying for and obtaining fellowships and scholarships from the HWCOE, UF and external sources. The advisor actively engages in the annual HWCOE Undergraduate Scholarship process, including coordinating the interviews of each applicant. This position is responsible for advising and assisting students in identifying resources to find co-op and internship opportunities (e.g., UF CRC services). The advisor directs students to appropriate resources in HWCOE and at UF for professional development, career readiness, and full-time employment.

This position is also responsible for assisting the Associate Chair of Undergraduate Studies with enrollment management and ensuring balanced load in sections offered throughout the year. The advisor also assists students with application to the combined degree program.

Lastly, this position will contribute to establishing and carrying out undergraduate recruitment activities with emphasis on engaging K-12 populations.

Recordkeeping and Report Generation:

The advisor reports results of advising assessments and enhancements to the ISE Department and to the EAC.

The advisor develops appropriate electronic databases and paper files for all ISE upper-division undergraduate students (in cooperation with the HWCOE, Associate Dean for Student Affairs Office) and maintains and manages undergraduate student audits in SIS. The advisor also monitors/reports on progress of transfer student. The advisor complies and analyzes statistical data reports concerned with ISE undergraduate enrollment, retention and other related data, including records required for accreditation by ABET and SACS. For example, the advisor compiles and assists with the analysis of student exit interview data.

The advisor is responsible for interpreting educational and administrative rules and policies. The advisor also recommends new and improved programs and/or technologies for the effective delivery of ISE undergraduate educational programs.

Collaboration and Professional Development with UF and College Partners:

The academic advisor serves as a liaison between the Department and UF and HWCOE Academic Programs. This role is intended to keep the advisor abreast of regulations, procedures, and opportunities regarding undergraduate students in ISE, including minority recruitment, mentoring programs and visiting scholar programs.

The advisor coordinates with HWCOE advisors during the students’ first year in order to best prepare them for their transition to departmental advising starting in the second year.

The advisor maintains ISE material in the UF undergraduate catalogs and coordinates with the HWCOE in providing timely submissions of catalog revisions. 

The advisor collaborates with the department’s Marketing and Communication’s officer to maintain and update ISE brochures, handbooks, forms, posters, and other recruiting materials. The advisor also coordinates recruiting activities that are germane to the advising role (e.g., EGS 1006 coordination, Preview advising and information sessions, HWCOE New Student Welcome, HWCOE New Student Convocation, etc.). The advisor also coordinates recruiting from community colleges (e.g., Sante Fe and Miami Dade) through points of contact at those institutions. This may also occur through the GatorEngineering Program at Sante Fe College.

The advisor actively participates in the UF Undergraduate Advising Council (UAC) and HWCOE Engineering Advising Council (EAC) meetings and associated committee activities.

Sales Engineering Program:

The advisor is responsible for publicizing the annual Sales Engineering Scholarships, collecting student applications, maintaining relevant database for the Associate Dean of Student Affairs, who reviews and forwards the applications to the College of Engineering Scholarship Committee for consideration and recommendation. The advisor also notifies scholarship recipients and publicizes presentations of awards.

The advisor also publicizes the Sales Engineering program minor in coordination with the ISE Department’s Marketing and Communications officer. The advisor updates and distributes program brochures and provides information required for the program’s web site. The advisor also presents the minor at various HWCOE orientation sessions, such as HWCOE freshman design courses, STEPUP and EFTP, and the COE transfer student orientation program, TSTP.

The advisor maintains a database on current students enrolled in the Sales Engineering program and certifies program minors upon graduation.

Expected Salary:

$52,250-$63,300; commensurate with qualifications and experience

Minimum Requirements:

Master's degree in education, counseling, or an academic field directly related to the advisor's area of responsibility and one year of relevant experience; or a bachelor's degree in education, counseling, or an academic field directly related to the advisor's area of responsibility and two years of relevant experience.
