Job Summary The Reporting Systems Associate serves as a regular, full time, 12-month position with primary responsibility for providing training, support, and communication with University of Illinois Extension staff to promote high quality outreach and impact reporting across Illinois Extension. The successful Reporting Systems Associate will lead, develop, and implement training, resources, and procedures for proactive and responsive communication with Extension staff to effectively use the Program Evaluation and Reporting System (PEARS) and other reporting platforms used to gather data that supports internal and external reporting to stakeholders. The individual will liaise with data team members across Extension's program areas to maximize efficiency and minimize burden on Extension staff.
Duties & Responsibilities - Training and Support
- Oversee the total customer experience for the PEARS software system utilized by Illinois Extension staff, including assessment of needs for training and support.
- Assist PEARS users who have questions or need additional support through phone, email, and Microsoft Teams communication.
- Design, evaluate, and update written and video job aids and provide training support to all PEARS users.
- Edit content and update Extension's website dedicated to planning, reporting and evaluation.
- Work with program area data team liaisons to coordinate communication of program area specific reporting priorities in PEARS.
- Design and conduct training for Extension staff to use data dashboards and PEARS exports for program improvement and monitoring.
- Draft and distribute mass email communications (using Webtools) to Extension staff regarding reporting requirements, deadlines, and resources.
- Data Quality Improvement
- Collaborate with the Program Planning and Assessment Extension Data Analyst to prepare and distribute quarterly field review and supervisor summary notifications regarding submitted PEARS data.
- Manage and track follow-up communications with PEARS reporters to resolve inconsistencies for PEARS records flagged in data validation processes.
- Participate in year-end data clean-up and beginning-year set-up processes (e.g. manage custom data fields, supervisor assignment in PEARS, user data management).
- Submit bulk recode requests, support and enhancement needs to the PEARS development team (third party software vendor).
- Develop and maintain tools for Extension program staff and the Assistant Director of DEIA to streamline collection and use of Civil Rights data.
- Assist with testing new and updated dashboards/visualizations that rely on reporting data.
- Impact Reporting
- Review impact success stories submitted in PEARS to identify potential impact summaries for inclusion in state and federal stakeholder reports.
- Generate programmatic summaries to support impact reporting to state and federal stakeholders.
- Organizational Support
- Assume additional related responsibilities to enhance the mission of the unit.
- Local, regional, and statewide travel required as needed; personal transportation required. Travel reimbursement is provided for either personal vehicle use or other means of transportation as coordinated by employee in accordance with University policies.

Additional Physical Demands To perform the functions of this position, the employee will be required to perform work both within an office and outside in the communities that are served. Must have the capability to travel from one location to the other in a timely fashion. A valid driver's license is preferred. Employee is responsible for securing personal transportation. Some work will be required during evenings and/or weekends. When working, the employee may be exposed to a variety of environmental factors to include, but not limited to, hot or cold weather, exposure to noise and allergens, and uneven ground. In performing the functions of this position, the employee may be subjected to various mental and physical demands as well to include, but not limited to, independently traveling to and performing work at different locations, lifting and moving items that may occasionally weigh up to forty (40) pounds and frequently weigh up to twenty (20) pounds, and twisting, pushing and pulling movements.
Minimum Qualifications Bachelor's degree.
A total of one (1) year (12 months) in education, training, and/or work experience in the area of specialization inherent to the position. Demonstrated training and customer service experience. (Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
Preferred Qualifications Academic background in adult and/or continuing education, distance education, instructional design, communications, social science, business/software training or related field.
Experience providing training resources to adults, including presentations, online trainings, and written instructions. Experience with training designed for a diverse workforce (including a range of learning styles and preferences) with attention to cultural competency and humility. Experience with providing exceptional and responsive customer service. Experience with content management using Drupal, WordPress or similar CMS. Experience with online learning management systems such as Moodle or Canvas. Experience with online reporting systems. Experience with using the Program Evaluation and Reporting System (PEARS). Experience with or understanding of the Cooperative Extension Service and related outreach. Experience with web and video conferencing, audio/video capture and post-production. Experience with educational technologies and pedagogy.
Knowledge, Skills and Abilities - Demonstrated communication skills (creation of written material and in-person or online presentations).
- Demonstrated customer service skills, working with diverse clients on the phone, responding to email and MS Team chat requests, and working with colleagues to address needs via online meeting platforms (e.g. Zoom, MS Teams).
- Strong organizational skills to manage multiple projects/tasks/communications simultaneously.
- Proficiency with using MS PowerPoint (or other software) to create engaging training materials, MS Excel to manage and log communication tracking, and MS Teams to manage internal communications and files.
Appointment Information This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. The salary range for this position starts at $50,000.
