Job description
The Payroll Specialist/Accountant is responsible for all payroll related duties including preparing, transmitting, and distributing GSOC's payroll in a timely and accurate manner. Ensures payroll processing is accurate and in compliance with company policies and relevant regulations, collects and verifies payroll data, develops, and provides payroll reports, coordinates year-end payroll, performs payroll analysis. In addition to performing certain general accounting duties including posting of payroll entries, reconciling, and recording benefits in accounting system, and ad-hoc projects on a needed basis.
Essential Responsibilities/Activities:
Payroll Processing
- Prepares, review, transmits, and distributes the Council's bi-weekly payroll in a timely and accurate manner.
- Ensures timesheets are properly completed and approved, accurate and submitted by deadlines by coordinating with various departments.
- Coordinates new hires, terminations, benefits deductions, and payroll reporting with Human Resources Dept.
- Acts as subject matter expert on payroll software (iSolved).
- Trouble shoots and follows up with payroll processing company (iSolved) to resolve any discrepancies.
- Processes bi-weekly 403(b) payroll deductions, employee loan payments, garnishments, and other payroll-related payments.
- Processes, monitors, and audits seasonal camp staff timekeeping records.
- Prepares, reviews, and verifies computed wages for terminated employees including all related benefits.
- Verifies accuracy and completeness of year-end payroll related reporting (W2/W3).
- Performs required reconciliations and database maintenance for accurate employee records.
- Addresses and resolves payroll-related questions and requests from employees, management, auditors in coordination with Human Resources Dept.
- Manages requests for payroll-related data and reports for audits (workers comp, audits, etc.)
Payroll Reports
- Develops, prepares, provides various payroll reports for each bi-weekly payroll to various departments in a timely manner.
- Obtains and retains quarterly and year-end filed payroll reports (940, 941, DE, W2/W3, etc.).
- Runs various reports related to payroll expenses, deductions, department allocations, employee donations, etc. to various departments timely.
Additional Responsibilities
- Maintains confidentiality and discretion in handling sensitive employee information at all times.
- Follows standard operating procedures for payroll processing and documentation.
- Provides payroll-related data and expertise for special projects.
- Collaborates with HR to determine appropriate employee general ledger codes.
- Performs other Finance-Accounting Department duties including posting of payroll entries and recording of benefits in accounting system, in addition to certain other non-payroll accounting duties, as necessary.
- Other duties and special projects as assigned.
Qualifications
- 5-7 years of Payroll processing experience minimum.
- 5 years of Human Resources related experience.
- 5 years of knowledge and understanding of accounting principles.
- 5-7 years of experience with HRIS (Human Resources Information System), with implementation experience considered a plus. Experience in iSolved or Workday is highly desirable.
- Strong analytical skills to analyze payroll data and identify discrepancies or trends.
- Ability to work well under pressure and handle time-sensitive payroll processing.
- Skill in prioritizing workload and managing multiple tasks simultaneously.
- Excellent computer skills, including advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook, SharePoint, and Teams.
- Ability to maintain a high degree of confidentiality when managing sensitive employee information.
- An associate degree or higher is a plus but not required, years of experience can be equivalent.
- Payroll related certification is a plus.
- Ability to multitask and take initiative to accomplish duties with minimal supervision.
- Demonstrated independent judgment and critical thinking skills.
- Proven ability to collaborate and interface with staff at all levels within the organization.
- Strong verbal and written communication skills.
- Knowledge of payroll, payroll taxes, garnishments, benefits, distribution is required.
- Excellent organizational skills, with the ability to prioritize and accomplish diverse responsibilities.
- Detail-oriented, attention to detail, accurate, and thorough in performing payroll-related tasks.
- Licensed and insured California driver; must pass background screening including driving.
- Willingness to accept the beliefs and principles of the Girl Scout Movement and acceptance of the relevant and compelling benefits of Girl Scouting.
- Bilingual ability is a plus.
