Job Description and Duties

Per CCR 249.3, this job control may be used to fill subsequent vacancies.

Function #1: Computer Data Entry – 40%

• Receives new seed sales applications and renewals; reviews for accuracy and completeness; inputs information into the database to track seed licensing renewal dates.


• Maintains various electronic files/databases for staff (sets up and maintains as needed).

• Reviews new applications, renewals, and fees submitted for Licenses to Sell Nursery Stock for accuracy and completeness, inputs licensing data and maintains database in order to provide program/license information to applicants, county agricultural commissioners, and the public. Incumbent will be trained thoroughly in the intricacies of the data entry.

Function #2: Clerical Support – 35%

• Answers and directs telephone calls, referring technical and scientific questions to appropriate Environmental Scientist(s).

• Faxes licensing information to counties and industry so nurseries will be in compliance with licensing laws and regulations.

• Processes incoming/outgoing mail and interoffice messenger mail, and ensures timely and accurate distribution of all plant/insect samples to appropriate Laboratory for determination by the PPD scientific staff.

• Photocopies scientific literature for scientists so they can stay up-to-date on current scientific and agricultural issues.

• Prepares envelopes and packets containing license renewal forms, pest advisories, pamphlets, and district office communications.

• Processes and reviews various simple documents such as interoffice memos, letters to license holders, and letters to county agricultural commissioners offices.

Function #3: Field Inspections/Sampling/Trapping – 10%

• Aids the Environmental Scientist(s) in collecting, and labeling samples of nursery stock for testing to determine compliance with nursery regulations.

Function #4: Staff Support Activities – 10%

• Aids in preparing paperwork for purchasing supplies, equipment, and forms.

Working Conditions

The duties of this position are primarily conducted indoors. The primary workstation is furnished with modular office furniture. The station includes a computer with various software programs including email, a telephone with voice mail, overhead storage areas, and portable and stationary filing drawers. The incumbent works primarily in a modular office that is in close range to workstations of the other support staff.

The incumbent must be able to establish and maintain effective working relationships with those contacted during the course of the work, work well under pressure, and make appropriate decisions in completing assigned work in meeting required deadlines.

Regular or recurring telework may occur as part of the incumbent’s ongoing regular schedule in accordance with CDFA’s Telework Policy.
