Shift Options: Day Shift
Purpose: The controller will manage high-level accounting, managerial accounting, and oversee the financial activities of the company. As head of the accounting department, the controller will manage and supervise all aspects of accounting from payroll to tax compliance. Will report to the Chief Financial Officer (CFO) and will assist with the development of internal control policies, procedures, and financial planning as needed.
Controller Duties and Responsibilities
- Manage all aspects of accounting, billing, financial statements, general ledger, cost accounting, payroll, accounts payable, accounts receivable, budgeting, tax compliance, inventory accounting, cost accounting, revenue recognition, and various special analyses
- Maintain documented system of accounting policies and operations
- Oversee payments of all accounts; ensuring all accounts are paid on time
- Monitor and manage daily cash flow and banking balances to ensure a positive balance of each account
- Oversee all payments made for debts, bank loans, and other copious quantities of money
- Record biweekly payroll on an Excel spreadsheet "Employee hour and pay" keep track of the hours and amount paid to employees. Specifically, to monitor newly hired employees and overtime pay
- Prepare monthly census reports in collaboration with the Quality Coordinator and verify via the Point-Click-Care report to ensure accuracy of the monthly census.
- Prepare and organize financial statements for record and review
- Prepare quarterly/annual financial reports
- Manage the quarterly/annual budgets and forecasts
- Advise on financial analyses and decision-making regarding capital investments, pricing, contract negotiations, significant costs, benchmarks, and other matters with management and Chief Financial Officer (CFO)
- Organize information and statements for audits and both internal and external auditors
- Define, benchmark, and implement operational best practices
- Prepare and audit payroll insurance deductions per payroll and compare the insurance deductions to the charges from insurance vendors
- Prepare monthly bed hold loss reports
- Month-end internal transfers to take care of Operating and Trust account balances.
- Prepare and submit monthly Room and Board claims directly via MEDI system
- Education monthly billing via QuickBooks, send original invoices to all sixteen school districts
- Allocate Trust account monthly interests received from the bank to all residents who have Trust accounts balances at the end of the month
- Prepare Case Manger Trust monthly balance report after the completion of the interest allocation
- Record all cash receipts via QuickBooks after each deposit made by the AP staff.
- Monthly bank reconciliation for all four CHC bank accounts via QuickBooks.
- Analyze monthly expenses trending before month-end closing
- Prepare and submit Borrowing Base Report to the First Merchants Bank with the month-end AR aging summary report by the 15th of each month
- File Social Security Payee Representatives Reports depending on the month-ends of Trust Account participant's annual cycle
- Follow-up on Education delinquent payments and resubmit billing as needed.
- Submit quarterly bank reporting requirements - balance sheet and income statement to First Merchant Bank
- Mail out Shareholder Distribution checks and mail out with FEDEX
- Monitor non-union newly hired employees to enroll into the CHC 401K (non-union employees after having worked six months at CHC and over the age 21)
- Prepare and file 1099s and 1096 for year end
- Prepare CFR report for audit and filling
- Prepare required information for Medicaid Cost report
- File Children Enrichment Foundation - Not-for-Profit tax return
- File yearly unclaimed Property report
- File year-end Sales and Use tax report
- Submit Audit Reports and Annual Tax Returns to First Merchant Bank for year-end reporting
- Send shareholders' K1s upon receiving the tax return for the year
- Maintain insurance certificates documents and Insurance renewal applications
- Comply with all local, state, and federal laws regarding finances, tax filings, and reporting
- Ensuring company complies with all additional legal and regulatory requirements
- Additional controller duties as needed
Controller Requirements and Qualifications
- Bachelor's degree in accounting, finance, business administration with an emphasis in accounting, or a related field
- Ideal candidate has 5 to 10 years of experience in field
- Certified Public Accountant (CPA) or Certified Management Accountant (CMA) license required
- Previous experience as an accountant, accounting supervisor, or manager
- Excellent computer skills; experience in accounting software (QuickBooks) and Microsoft Office Suite; Access, database, or other system knowledge
- Exceptional knowledge of finance, accounting, budgeting, cost accounting and cost control principles, and Generally Accepted Accounting Principles (GAAP)
- Excellent written and verbal communication skills
- Advanced knowledge of bookkeeping and accounting best practices, laws, standards, and state/national regulations
- Analytical ability to develop and implement improvements or recommendations
- Attention to detail
- Able to collaborate well with senior executives and team, as well as mentor/lead other team members
- Keep an organized filing system of all accounts, statements, transactions, payments, and debts
