Job description
WDSMPP is seeking a motivated, highly organized, and detail-oriented individual to assist in upholding the WDSMPP administration management policies and procedures as well as supporting the efficient operation of the WDSMPP Post Production team. Reporting to the SVP of Post Production, the Manager will perform key administrative duties including all deal memos, electronic start packets, and contracts for editors and post production supervisors. Additionally, keeping all theatrical, Disney+, and Hulu spec requirements up to date in the database is a critical part of the role. The Manager is also responsible for updating Studio applications with the most current Post Production schedules/dates.
Responsibilities:
Liaises with the Post Production team when new crew is hired on shows to generate start paperwork, and draft and execute long-form contracts.
Works with the Post Production team to input data into the Studio’s custom tracking system to generate key reports (the Production Status Report, Blue Report, Studio One Report), as well as the weekly report managed and distributed by Post Production (the Post Board).
Ensures that theatrical, Disney+, and Hulu deliverables provided to shows are kept up to date within WDSMPP’s internal database by partnering with internal Disney teams to review technical specs (operations, sound, mastering, etc.).
Manages Distribution/Archive orders for all shows, which includes providing PO information on the orders and distributing them to the Studio when complete.
Works with Library Tech Services and third-party vendors to follow through on archive deliverables on all shows.
Notifies Post Finance of changes in delivery requirements/archives for potential impact on the budgets, as needed.
Works with the project attorney for acquisition titles to provide them with a delivery schedule that includes the studio specs; Works alongside the post-executives to verify all information is accurate in the contract.
Keep documents up to date for Editorial crews (Editorial Best Practices, guides for Post Production Supervisors, etc.); Ensure that internal documentation is kept up to date to track previously hired crew, vendor information, production details, etc.
Act as point person to manage Disney logo requests.
Partners with the Walt Disney Animation team as the Post Production point person for the Disney Nature franchise, specifically to convey schedule and delivery.
Knowledgeable about Editors Guild Local 700 and specific union rules for different jurisdictional areas.
Sources and secures temp labor, e.g., coordinators, for the department.
Performs casual buyer duties for the department.
Submits weekly invoices into SAP for deliveries charged against shows across the Studio.
Act as point person with the content security team for the 2nd-floor restricted rooms.
Liaises with talent agencies to track the availability of Editors and Post Production Supervisors within WDSMPP’s internal database.
Possesses strong systems and tools knowledge, including but not limited to:
Airtable and Smartsheet (project tracking and deliverables management)
Scenechronize (storage of all production titles, central forms, and reports)
GRID (repository of production data and Post Production dates).
Union Roster (website)
SmartStart and CrewStart (electronic onboarding system)
SAP
DocuSign
Assist on occasion with Post executives' PowerPoint/Keynote presentations.
Requirements:
Basic understanding of post-production workflows.
Familiarity with common technical delivery requirements and specifications for streaming and theatrical projects.
High level of integrity in handling proprietary and confidential information; promotes confidence with other employees in handling sensitive data.
Ability to work calmly, professionally, and collaboratively, under pressure, and with a variety of personalities, including the Disney teams, production companies, and vendors.
Proficiency in Microsoft Office, with the ability to learn new software and technologies.
Self-starter, with a proactive can-do, solution-oriented mindset.
Outstanding communication skills, written and oral.
Excellent organizational, analytical, and problem-solving skills.
