Job Description for the Legal Administrator:
As a Legal Administrator with a focus on administration and accounting, you will be responsible for overseeing key administrative tasks and financial management processes. Your primary responsibilities will include, but are not limited to:
Administrative Management:
- · Efficiently manage day-to-day administrative tasks.
- · Create electronic and physical files for legal documents, client records, and correspondence, ensuring easy accessibility for staff.
- · Ensure the smooth operation of office equipment and manage supplies inventory to support daily operations effectively.
Accounting:
- · Perform billing and invoicing processes, including generating invoices, tracking payments, and managing accounts receivable to ensure timely and accurate financial transactions.
- · Review and prepare payment for services rendered by vendors. Work closely with the firm's accountant by providing accurate financial reports for tax return preparation and provide support as needed.
- · Prepare payroll and related reports regarding HWA usage and 401(k) plan contributions.
- · Prepare financial reports for management review, offering insights into the firm's financial performance and areas for improvement.
Human Resources:
- · Support the recruitment process by coordinating job postings, scheduling interviews, and facilitating the onboarding of new hires.
- · Maintain employee records ensuring compliance with legal and regulatory requirements.
Client Relations:
- · Serve as a primary point of contact for client billing inquiries, providing exceptional service and support to enhance client satisfaction.
- · Handle sensitive information with confidentiality and discretion, maintaining the firm's reputation for integrity and trustworthiness.
- Legal Support:
- · Provide administrative support to attorneys, including drafting correspondence, preparing legal documents, and conducting legal research as required.
- · Assist in managing case files, court filings, and deadlines to ensure compliance with legal requirements, contributing to the successful execution of legal matters.
- · Collaborate with legal team members to streamline processes and improve efficiency, enhancing the overall productivity of the firm.
Qualifications for the Legal Administrator:
- · Bachelor's degree in Business Administration, Accounting, Legal Studies, or related field preferred.
- Ideal candidate will have 3+ years in a legal setting, preferably at a law firm but not mandatory.
- · Previous experience in an administrative or accounting role, preferably in a legal setting.
- · Proficiency in Microsoft Office Suite and accounting software applications.
- · Strong organizational skills and attention to detail, with the ability to manage multiple tasks effectively.
- · Excellent communication and interpersonal abilities, with a client-focused approach.
- · Understanding of legal terminology and procedures is a plus.
Compensation for the Legal Administrator: $58k - $64k annually
