Job Summary

Chloeta is seeking a Communications Specialist for our Catastrophe Command Center to facilitate efficient communication needs by performing a variety of clerical and administrative tasks.

Job Classification: Full-Time

Duty Station: Chloeta Headquarters, Oklahoma City, OK

Compensation

·$16 - $23 per hour

· Non-Exempt

Duties/Responsibilities

· Maintain communication with field units during periods of operation and cross-communicate situational developments to center supervisory and management personnel.

· Broadcast National Weather Services (NWS) alerts to affected areas and personnel.

· Upkeep center communication log and track all incoming and outgoing communication efforts.

· Assist in creating documentation and plans that support the Incident Command System (ICS) processes for responses.

· Distribute automated calls as required.

· Use radio systems, and other communication devices to maintain contact with field crews.

· Answer incoming telephone traffic, check and forward voicemails to appropriate personnel.

· Make all travel and lodging arrangements as requested after ensuring they are approved and within budget limits.

· Prepare travel itineraries and distributes travel arrangements and schedules to all appropriate personnel.

· Obtains approval from center management for travel requests and expenses that exceed established limits.

· Manage and track travel expenses, including invoices, receipts, credit card statements, credit card authorizations.

· Record and distribute meeting minutes.

· Provide customer support and service scheduling as required.

· Maintain accountability of assigned equipment.

Required Skills/Abilities

· Excellent verbal and written communication skills.

· Excellent interpersonal and customer service skills.

· Ability to handle and process multiple lines of communication from various sources.

· Ability to maintain confidentiality over information, conversations, and other related matters.

· Proficient in Microsoft Office Suite, Adobe Acrobat, Google Workspace, and related software.

· Excellent organizational skills with high attention to detail.

· Basic understanding of clerical procedures and systems such as recordkeeping and filing

· Ability to work independently, self-starter.

Education and Experience

· Required: High School diploma

· Required: One to two years’ experience in relatable communications or customer service field of work.

· Preferred: Previous experience in professional office setting.

· Preferred: Associate degree or higher in communications field.

· Preferred: Background working in call center, dispatch center, or other operations/communications centers.

Physical Requirements

· Prolonged periods of sitting at a desk and working on a computer

· This role routinely uses standard office equipment such as computers, phones, etc.

· Must be able to lift at least 15lbs.
