Job description
The Administrative Services Coordinator (55%) will provide executive level administrative support to the Director of the School of Planning and Public Affairs; manage administrative, human resource, financial aid, and other financial responsibilities for the School; and serve as point of contact for all questions or concerns relating to the school.
This will be a 55 percent time position and located on campus.
Key Areas of Responsibility
Operational Support and Management
- Serve as primary contact and program liaison for Program Director, faculty, staff, students, alumni, advisors, and the public on matters relating to School and programs offerings and policies.
- Handle all requests for information including financial aid, human resources, budgets, and exercise discretion and judgment in providing confidential information to appropriate parties.
Human Resources (HR)
- Initiate HR transactions.
- Serve as Human Resource contact in SPPA.
Financial Responsibility
- Manage program budgets and grants.
- Calculate projected costs and expenses.
Strategic Planning
- Assist and advise in the coordination and preparation of strategic plans in support of the Director of SPPA.
Information Management
- Answer HR questions, financial aid questions, and any other requests for information relating to the program.
Communications Management
- Work with Director, Associate Director, Admissions Coordinator and Career Services Coordinator to prepare printed materials including posters, flyers, and other promotional materials. Assist in the preparation of electronic material such as posting ads in different websites, editing of videos, recording of webinars/presentations, etc.
- Prepare and administer correspondence with faculty, current and prospective students, staff, alumni, adjunct faculty, and all other relevant parties.

Education Required
- A Bachelor’s degree in Business Administration or related field, or an equivalent combination of education and experience.
Required Qualifications
- Experience, typically 6 months to one year, in an administrative capacity, including human resources and finance.
- Demonstrated excellent written and verbal communication skills; ability to effectively transmit, receive and accurately interpret ideas, information, and needs through appropriate communication methods and behaviors.
- Working proficiency in the use of computer software applications, including word processing, spreadsheets, databases, email, listservs management, and teleconferencing tools.
- Demonstrated working proficiency working with variety of individuals and groups in a constructive manner while appreciating the unique contribution of diverse individuals.
- Driver's License and ability to meet UI Fleet Safety Standards.
Desirable Qualifications
- Working proficiency and demonstrated ability in preparing specialized reports and charts.
- Working knowledge and proficiency in bookkeeping/accounting.
- Knowledge of University of Iowa policies, procedures, systems and regulations.
