Summary of Job Responsibilities:
Provides administrative support for the President/CEO and the Board of Directors. Accountable for complying with all Bank Secrecy Act and Anti-Money Laundering regulations, bank policies, and procedures.
Essential Job Duties:
- Completes a wide range of typing tasks, including correspondence, reports, tables, agreements, and so forth that require a high level of typing proficiency and a good knowledge of generally accepted formatting principles.
- Produces high-quality written communication with a minimal amount of supervision. Corrects, edits, rephrases, and provides punctuation as necessary to ensure that the final communication conveys the intended meaning and is correct in detail.
- Prepares administrative reports, gathers data and information from a variety of sources, verifies accuracy of data and organizes and drafts reports to ensure meaningful display of information for the intended purpose.
- Assembles and distributes documents, reports and information needed for meetings held by the CEO, Directors and Senior Management. Ensures participants are informed of meeting dates and times.
- Acts as recording secretary for Board and Bank committees as requested by committee chair.
- Keeps stock records, prepares stock transfers/sales and produces and amils quarterly dividends for the holding company.
- Performs related duties that require a thorough knowledge of Management's area of responsibilities.
- Prepares copies of general information for distribution to the staff and performs other clerical duties.
- Answers and/or routes telephone calls, emails and other communications as needed.
Other Essential Job Duties:
- Miscellaneous Assignments as directed by the CEO.
- Backup the Commercial Loan Department Assistant.
- Backup to the Administrative Assistant to Senior Management
Skills and Abilities Required:
- Above-average proficiency with Microsoft Office programs and general computer knowledge.
- Must possess the ability to maintain strict confidentiality in the handling of information of a very sensitive nature.
- possess proficient secretarial and clerical skills.
- Good interpersonal skills enabling a positive representation of the bank to customers and other staff.
- Familiarity with Commercial Loan Department documentation and general processes helpful, but not necessary.
Minimum Level of Performance and Training Normally Required:
- High school diploma required, supplemental business and/or college education helpful.
- At least 2 years in an administrative position reporting to an executive preferred.
- Must possess excellent communication skills (written and verbal)
Working Conditions:
Some pressure may be involved meeting deadlines, but no unusual physical factors or demands are associated with this job. Work environment (physical surroundings) are above average.
