Job description
Looking for an energetic team player to join the Management office of a 1200-unit garden style apartment community! Excellent opportunity for a Leasing Agent looking for that next step! Strong Customer Service skills, organization and time management skills required. Will assist with resident issues, account question, entering and processing PO's and invoices and dealing with maintenance related questions. Company offers opportunities for advancement!
Job Requirements:
- Excellent customer service via phone and in-person.
- Answering heavy phone calls and entering detailed notes in software program, assist residents as needed via phone and email. Maintain all vendor, exterminator, worker order, parking permit files. Stamp all incoming mail, invoices.
- Mail vendor checks weekly.
- Maintain and store vendor invoices.
- Calculate vendor invoices for all Special Services billings based on g/l's.
- Maintain all resident contact information. Audit for updates every six months.
- Update/Maintain property contact sheets for all websites.
- Provide administrative support to property manager as assigned.
- Coordinate with corporate office to collect all certificates of insurance for new vendors, updated insurance for existing contracts.
- Administer parking permits and garage permits to current residents upon request and availability.
- Update resident files; preparing and mailing lease renewals.
- Returning calls, filing, scheduling maintenance appointments, email correspondences with residents, follow-up with resident for missing paper work and insurance.
- Assisting with collection calls, emails when required.
- Manage office supply stock and order monthly supplies, postage ink for printer
- Previous administration experience in property management preferred.
- Computer literacy required- including Experience Microsoft Office, Excel, Outlook a must.
- Communication proficiency (both oral and written).
- Must be detailed oriented, able to prioritize and have exceptional organizational skills. Strong follow-up and problem-solving skills.
- Ability to think on your own and demonstrate resourcefulness/initiative is highly desirable.
- Prior experience with property management software a plus (Onesite).
- High school diploma or equivalent, college degree or similar work experience (3 years or more relative office experience) preferable.
