Job description
Malin Space Science Systems (MSSS) is a private technology company that designs, develops and operates space camera systems. Under the direction of the Staff Accountant, the Accounting Assistant performs accounting support in the areas of purchase order processing, cash applications and bank reconciliations. In addition, the Accounting Assistant backs up and supports the overall daily duties of the Accounting department.
Essential Functions - Receives and verifies purchase requisitions.
- Prepares purchase orders by verifying specifications, price and G/L coding.
- Determines applicable sales tax; as well as verifying quotes, recognizing discrepancies and following up with requestor.
- Obtains necessary approvals from company management.
- Forwards purchase orders to suppliers and monitors progress of orders from issuance to receipt.
- Works in conjunction with Camera Systems Group to confirm if RMA’s need to be requested for non-conformance and contacts vendors to request RMA’s for returns or exchanges.
- Confirms, with accounts payable that proper credits are received for RMA/Returns.
- Sorts and files documentation for department access.
- Adds, maintains and updates vendor information and sends necessary purchasing documents (i.e. resale certificates)
- Establishes net terms with new vendors and requests W-9s.
- Provides purchasing planning and control information by collecting, analyzing, and summarizing data and trends.
- Applies cash receipts in the accounting system.
- Reconciles bank accounts and petty cash.
- Updates job knowledge by participating in educational opportunities.
- Supports department audits.
- Enters bi-weekly vacation accruals.
Non-Essential Duties - Performs other duties as required or requested which may become essential to this position.
Minimum Qualifications - Associates degree required or Bachelor’s degree in a related field or 2+ years equivalent hands-on accounting experience.
Preferred Skills - Excellent attention to detail.
- Experience working in a Government Contractor environment, Aerospace Manufacturing.
- Prior experience procuring electronic and optic parts for manufacturing.
- Establishing and maintaining vendor relationships.
- Organization and documentation skills.
- Provides excellent customer service.
- Basic understanding of cost accounting.
Physical Requirements Must be able to remain in a stationary position, operating a computer for periods of time, while handling multiple priorities simultaneously . Must be able to communicate clearly with a variety of people on a daily basis. Must be able to comprehend and communicate basic financial concepts, and company and department policies and procedures. Occasionally moves about the office to conduct inventory, access file cabinets and office equipment. Ability to lift and carry up to 15 lbs. as needed. Ability to handle stressful deadlines from time to time.
