Summary:
We are seeking a meticulous and detail-oriented Contract Specialist to join our team to manage and administrate contracts and contract documents for Goldbelt Frontier and Apex. The Contract Specialist will act as the system administrator for the contract document management repository and be responsible for maintenance and upkeep of the files and documents throughout the contract lifecycle.
Essential Job Functions:
- Collaborate with internal stakeholders, including legal, finance, and procurement teams, to resolve contract-related issues and discrepancies.
- Review contract documents to ensure accuracy, completeness, and compliance with legal and regulatory requirements. Identify potential risks and propose mitigation strategies to protect the organization's interests.
- Draft and prepare contract documents, including agreements, amendments, and addendums. Customize contract templates as needed to meet specific project or client requirements.
- Track, monitor, and update contract changes, correspondence, data, requirements, and signatures.
- Prepare Consulting Agreements, Subcontracts, NDAs, TAs, and REAs.
- Perform purchase order/task order/contract post-award functions such as processing unilateral and bilateral modifications and closing out awards after expiration of the award.
- Manage contract execution processes, including obtaining necessary signatures and approvals. Maintain accurate and up-to-date contract records and documentation throughout the lifecycle of each contract.
- Coordinate with vendors and suppliers to ensure timely delivery of goods and services as specified in the contract.
- Monitor contract compliance with applicable laws, regulations, and company policies. Identify and address any instances of non-compliance and take appropriate corrective actions.
- Facilitate contract closeout activities, including final payments, reconciliations, and resolution of outstanding issues. Ensure that all contract obligations have been fulfilled and that relevant documentation is properly archived.
- Maintain the electronic records for each contract which will include the original contract, all correspondence, changes/deviations, modifications, amendments, clarifications, payment schedules and all other associated required documents.
- Prepare regular reports and updates on contract status, performance, and key metrics. Communicate contract-related information to relevant stakeholders as needed.
- Develop and deploy contract management tools, templates, and procedures to ensure standardization and efficiency in related processes.
Necessary Skills and Knowledge:
- Strong understanding of contract law, legal terminology, and contract management principles.
- Must know basic procurement procedures and techniques to carry out procurement assignments using the Federal Acquisition Regulation (FAR).
- Must know negotiated procurement procedures, simplified acquisition procedures, commercial item procedures, and the laws, regulations, and precedents governing procurements by these methods to perform developmental assignments or segments of large procurement actions.
- Must be adept at problem-solving, including identifying issues and resolving concerns.
- Ability to conduct research and present data in a concise and well-written manner.
- Must be organized, accurate, thorough, and able to monitor work for quality.
- Must be able to manage high volumes of paperwork/files efficiently.
- Excellent communication and interpersonal skills.
- Ability to work independently and manage multiple projects simultaneously.
- Advanced proficiency in contract management software and Microsoft Office Suite.
- Team-oriented and able to deal with various personalities and communication styles.
Minimum Qualification:
- Bachelor's degree in business administration, contract management, or a related field OR equivalent combination of education/experience
- Minimum of 3-5 years of experience in contract administration, procurement, or related field.
- Possesses demonstrated expertise in and capability to support proposal evaluations including price/cost analysis or technical proposal analysis in the Federal sector.
- Possesses demonstrated expertise in and capability to perform contract administration support services, including assistance with reviewing contractor performance, developing contract modifications, and investigating reports of contract discrepancies: contract closeout.
- Ability to pass a Public Trust background investigation.
- Must be a US citizen.
Preferred Qualifications:
- College degree in a related field.
- Minimum of five (5) years of experience in contracting providing service to Federal clients
- Certification in contract management (e.g., Certified Federal Contracts Manager) is a plus.
- At least 6 months of experience working for an 8(a) certified ANC.
