Job description
As a direct report to the Chief of Staff-Banking Group, this role is responsible for the execution of all key programs managed on behalf of the Banking Group, disciplined management of budget and initiative portfolio prioritization, as well people leadership of a team of program / project managers. This position requires a multi-faceted individual with expert negotiation, influential leadership, and time management skills, as well as specific experience in banking. It is expected that the incumbent in this role ensures strong execution among project managers and holds sponsors accountable for their part in successful outcomes. Managing the art and science of projects, risks, issues, budgets, and communication throughout an ever-changing strategy, escalating early when key milestones are at risk is critical. The leader is expected to manage interdependencies between programs and provide transparency to senior stakeholders, quickly problem solve and bring thought leadership and full transparency. This role will be responsible for ensuring effective oversight of large, cross-business initiatives and will need to equally partner closely with cross-functional teams (e.g., Technology, Product, Legal/Compliance, Risk, and Fraud) to drive progress.
- Build PMO team and capabilities to support portfolio of strategic and transformation initiatives within the Banking Group at Flagstar. Hire and manage small team of project managers; Bring on contractors and vendors to manage specific, finite projects. Manage those vendor relationships.
- Apply best practice PMO methodology. Ensure compliance with all enterprise PMO and change management policies and standards; liaise with enterprise committees, as required. Establish project management and change management approach, process, and tools for the Banking Group. Stand up and maintain governance of the Banking Group initiative portfolio, including dotted line oversight of initiatives primarily managed by Enterprise PMO or IT PMO. Provide portfolio level program / project health reporting, along with escalated risks and issues to senior management. Create and maintain Banking Group prioritization methodologies, including initiatives portfolio, roadmaps, resource heat maps, and change heat maps.
- Facilitate translation of strategic plan and other business commitments into execution roadmap and initiative portfolio, including (1) prioritization of strategic initiatives and business as usual activities; (2) year by year sequencing of strategic initiatives, contemplating dependencies, BAU and committed outcomes; (3) resource management, and (4) risk / issue identification and escalation.
- Provide project management and change management support to highest priority, highest complexity initiatives. Additionally, provide guidance and consulting to business owners of lower priority / lower complexity initiatives that do not have a PM assigned.
- Drive clear program structure and accountability.
- Review and challenge for each program, including definition and timing of work streams, deliverables and other milestones against commitments, dependencies and staffing.
- Ensure clear roles and responsibilities, including understanding expectations of deliverables, key milestones, and overall initiative.
- Identify critical dependencies and interdependencies between initiatives.
- Prepare, maintain, and provide clear and concise status reports and track progress against commitments.
- Oversee and accelerate execution by addressing program resource constraints.
- Build strong communication and relationship with partners – serve as role model in promoting good working relationships across initiatives.
- Manage transparent communication – encourage, support, and require early escalations.
- Escalate significant issues in a timely manner and take direct control of challenged programs by engaging senior leadership. Manage issues with a sense of urgency. Apply analytical thinking to ensure all available tools are exhausted to remain on target.
- Ensure closure and change management; Confirm quality and adequacy of deliverables against program target.
- Ensure sustainability of changes through appropriate capability-building and implementation of best practice change management.
- Uses independent judgement and discretion to make decisions
- Responsible for talent management functions including: employment, performance evaluations, staff development/training, disciplinary actions, succession planning and ensuring all staff comply with compliance requirements.
Job Requirements:
- Education level required: Undergraduate Degree (4 years or equivalent) Bachelor's degree in Finance, Economics, Business or similar
- Minimum experience required: 10+ Years of project management experience, preferably from a financial services including a successful track record of managing large complex programs
- Experience building a PMO team and toolkit
- Demonstrable track record of large, multi-faceted project completion on time, on scope, and on budget
- Proven track record of leading a team of project managers working on multiple projects at a time
- Requires little supervision and can recommend solutions based on business expertise and experience
- Exceptional time management skills, written, and verbal communication skills
- Cool, calm, collected, and collaborative; excels under pressure and leads change and complexity in dynamic environments; can shift readily between the "big picture" and the small-but-crucial details, knowing when to concentrate on each
- Ability to develop highly complex project plans and manage individual deadlines and goals
- Ability to identify risks and issues, generate solutions and choose appropriate alternatives using facts and data
- Understand portfolio scope by assessing material requirements changes, determining and conveying impact on budget, time and risk
- Stay abreast of current industry trends and new technology through professional associations, trade journals, networking, and associated training and seminars
- Mastery of common project management tools such as MS Project, Confluence, or Jira.
- PMP/PMI certification; LEAN or Six Sigma, preferred
