Job Description

NBCUniversal is seeking an Office Assistant to support a Senior Executive and the broader team in the Agency Partnerships team. 

Duties and Responsibilities : 

• Provide professional phone coverage, screening calls and determining immediate attention 
• Coordinate travel arrangements efficiently 
• Manage busy calendars effectively 
• Coordinate and schedule meetings promptly 
• Process and track expense reimbursements accurately 
• Manage the physical office space and equipment efficiently 
• Lead IT assistance and manage office space according to staff needs, ensuring employees have necessary IT equipment 
• Order and maintain office supplies and equipment as needed 
• Facilitate office meetings, group lunches and staff events proficiently 
• Maintain and update contacts lists regularly 
• Handle sensitive and confidential information with discretion 
• Maintain an up-to-date and accurate filing system 
• Assist with the successful onboarding of new employees 
• Coordinate services to ensure the smooth functioning of the Chicago office 
• Assist with additional projects and other duties as required 
• Demonstrate punctual, regular, and consistent attendance 

Qualifications

Qualifications

: 

• 1-3 years prior relevant experience, supporting Senior-Level Executives a plus 
• Exceptional communications skills (verbal and written) and strong interpersonal skills
• Proficient with MS Office – Outlook/Word/Excel/PowerPoint
• Ability to successfully multi-task and meet deadlines
• Excellent at problem-solving, taking initiative, and being resourceful

• Proven ability to thrive in a dynamic, fast-paced, deadline-driven media environment 

Salary Range : $55,000 – $65,000
