Position Summary:
As a Project Coordinator you will be responsible for administering and executing a variety of project management administrative tasks such as capturing meeting minutes, scheduling meetings, following up on open action items, creating project communications, facilitating training, etc. In this role, you will work closely with our project management team to prepare comprehensive project plans, including resource forecasts, project timelines, status reports, etc. required by the PMO. The ideal candidate is a detail-oriented self-starter, experienced with supporting a large team, while keeping all the parties involved up to date on the status of their projects.
Essential Functions:
- Prepares necessary presentation materials for meetings.
- Organizes and facilitates stakeholder meetings where appropriate and records and distributes minutes, and action items from meetings.
- Follows up on important actions and decisions from meetings.
- Develops and manages project documentation such as the project charter, resource forecast, status reports, budgets, change requests, RAID log, etc., as directed by the project manager.
- Facilitates communication between the project manager and stakeholders throughout the project life cycle.
- Assists with collection of resource forecasts and resource scheduling so that team members have the resources they need to complete their projects.
- Effectively and accurately monitors project activities and communicates relevant project information to stakeholders, senior management, and project team.
- Coordinates with the project manager to ensure that projects are delivered on time, within budget, and within scope.
- Administers core project management functions and processes (e.g., project intake & prioritization, management reporting, etc.).
- Assists project managers in tracking and managing risks, issues, and change requests and updating project artifacts as needed.
- Assists in developing and maintaining project management best practices and identifies and recommends process improvements.
- Juggles multiple projects and priorities simultaneously in a fast-paced environment.
- Ensures projects adhere to established frameworks and all documentation is maintained appropriately for each project
- Develops and maintains a project performance database that tracks overall performance of the project portfolio as well as lessons learned
- Undertakes project tasks as required and ensures project deadlines are met
- Participates in training as directed
Education/Experience/Skills:
- Bachelor’s degree in business, marketing, communications, or related field
- 3+ years’ project management experience
- Ability to work effectively both independently and as part of a team
- Superior computer skills; well versed in MS Office Suite with a strong and thorough knowledge of Excel, Outlook, PowerPoint, Visio, Word, Excel, SharePoint, and Teams
- Ability to work within tight deadlines and prioritize competing demands
- Proven success in a corporate setting, working with all levels of management
- Creating, organizing, and maintaining documentation
- Excellent interpersonal, written, verbal, and presentation skills
- Extremely detail-oriented
