Anticipated Hiring Range : $3,866 - $3,950 per month
Work Hours : Monday - Friday, 8am - 5pm, unless notified otherwise
THE DEPARTMENT: The Registrar's Office is responsible for the security, integrity and accuracy of academic records, degree progress and evaluation services and the coordination and implementation of academic policies and procedures with academic departments and colleges.
The Registrar's Office conducts all registration activities, oversees articulation agreements with other colleges and universities, processes grades, maintains accurate student records, verifies student enrollment data, monitors academic standing, evaluates transfer credit, certifies enrollment, provides preliminary graduation evaluations, verifies degree requirement completion, and issues diplomas. The Registrar's Office provides counsel to students as they advance from matriculation to graduation.
As a core functional area within Enrollment Management & Services, the office plays a leadership role in enrollment management and planning, in conjunction with other campus constituents. The office is responsible for compliance with federal, state, CSU system and University requirements and the timely and accurate dissemination of information to students, parents, campus constituents, the CSU Chancellor's Office, and the external community.
DUTIES AND RESPONSIBILITIES: Evaluation
Responsbilitites including but not limited to the following: - Processing academic petitions - primary function of position.
- Fetching and posting transfer credit work in PeopleSoft and making adjustments when necessary.
- Evaluating transfer credit and determining equivalency and transferability based on national guidelines, formal articulation agreements,Title V and university policies.
- Reviewing and applying as appropriate, approved adjustments to academic requirements and student records from associate deans, department chairs and advisors, ensuring compliance with Title V and university requirements.
Administrative Support
Providing administrative assistance to the department in completing evaluation-related tasks including but not limited to: - Responding to email inquiries from the general email inbox related to graduation and evaluation.
- Providing additional support and customer assistance as needed during peak times (ex: registration, graduation clearance, end of term processes, data cleanup projects).
- Providing support to staff, advisors and students in understanding campus policies and procedures.
- Assisting with troubleshooting when appropriate.
- Maintaining knowedge of these policies in order to refer students to the appropriate service provider.
QUALIFICATIONS - Equivalent to completion of a formal training program in academic records evaluation OR one (1) year of academic records evaluation experience OR any 12-month combination of training and experience related to academic records evaluation.
- Knowledge of the format and interpretation of course records and transcripts of institutions of higher education.
- Knowledge of authenticating course credits and comparing records of differing formats, such as foreign records; knowledge of campus curriculum requirements for majors, minors, terminal degrees, and special program designations, and knowledge of application of campus resource guidelines for making determinations using various criteria.
- Ability to be thorough, consistent and accurate in the interpretation of records against criteria.
- Ability to comprehend and interpret complex regulations or requirements and to apply them in the evaluation process.
- Ability to maintain resources which document and update criteria.
- Ability to explain criteria and evaluationsto others.
- Ability to make accurate records; ability to organize work to meet deadlines.
- Ability to safeguard the confidentiality and security of records.
Preferred Qualifications - Familiarity with California community college courses.
